II.  New Business

a.  Compensation and Evaluation Discussion – Andrew Ephraim

  1. Andrew needs two people from Executive and two people from Legislative for the board for compensation and evaluation. Ryan asked when these meetings would be taking place and Andrew explained that once all the people are appointed, he will work around everyone’s schedule. Bryan asked what this is and Andrew explained that they will be evaluating payroll and hours. Ryan asked if this included discussing moving to a stipend program and Dr. Reed explained that only George Kelly could make this change.

b.  SGA E-mails - Jae Lee

  1. Jae found out that we have a SGA judicial, clerk, and other email accounts that he has never heard of before. Exec needs to decide what we want to do with these emails. Andrew shared that he had to go do a survey to keep his email account for judicial and explained that they do use this email account.
  2. Ryan explained that they are changing to gmail, so we can merge all these accounts if we keep them!
  3. Kate thinks we should delete the clerk email account and keep the branch head accounts.
  4. Dr. Reed wants Jae to request a list of all the SGA email accounts.
  5. Jazmin thinks we should keep the clerk email because the clerk could be going through a process and if we switch positions they could find out any processes they were going through with that email account.
  6. Ryan thinks they should keep these accounts for professionalism so that people aren’t emailing people to their personal accounts when it is a SGA matter.
  7. This discussion will continue next week when we have a full list of SGA email accounts. Dr. Reed is going to email and get the list of all the accounts.
  8. Remy likes having the emails coming to his personal account because that way it is all in one place and encourages more informal talk to form a relationship with people.

c.  Pay to Park Discussion - Jae Lee

  1. Jae emailed Dr. Rodriguez about why VCU has implemented the Pay to Park system. He sent Jae an email saying that this is a city initiative not a VCU one. Jae thinks this would be a good topic to discuss at Lobby Day.
  2. Ryan also thinks this would be a great topic for Lobby Day.
  3. Asif wants to make sure we isolate this topic to the specific delegates if it does become a topic for Lobby Day.
  4. Jae wanted to discuss how we would relay this information to the students that this isn’t a VCU initiative. He asked Kate to make an announcement about it in Senate so the Senators can spread the word.
  5. Jazmin asked if the Vice Provost could say something in an email. Dr. Rodriguez explained that they wouldn’t be able to do this.

d.  SGA Executive Board Meeting Times/ Other Options - Jae Lee

  1. Jae has a class that is only offered at 2PM and would like to switch the time for the Exec Board meetings. Jae explained that in the guidelines it did state that the VP can take over the President’s job during this meeting but Jae doesn’t want to do it if we do not feel comfortable with not having him at all meetings. Jae’s option was to either only miss two meetings during the semester for when he has an exam or have Ryan fill in for me at all Exec board meetings.
  2. Ryan explained that it states in the bylaws that it doesn’t suggest that Jae has to be at all the meetings unless there is a serious concern.
  3. Andrew brought up the fact that Jae wanted to write a legislation to change the times of the meeting and he doesn’t think Jae should be allowed to do this for a personal situation. Andrew also thinks that it is important for the President to be at this meeting.
  4. Jazmin thinks that if you can’t fulfill your duties then you should step down from the position. She brought up the fact that Kyle couldn’t come to Senate meetings so he had to step down from his position. She thinks it needs to be fixed so that Jae can be at the meetings.
  5. Kate thinks it will be impossible to find another meeting time that will fit everyone’s schedule.
  6. Asif asked if Jae could take this class in the summer. Jae said he hasn’t looked into this option.
  7. Jae is going to send out a doodle for everyone to fill out to see if there is another time for us to meet.
  8. Jazmin thinks isn’t fair for us to change the time for a personal situation.

e.  175th Anniversary Concert - Jae Lee

  1. Dr. Rodriguez explained that the committee is working towards putting on celebratory events for this. They want to know if there are any events that the student body would like to see as a signature event for this anniversary.
  2. Ryan brought up brining in Justin Timberlake.
  3. Jae thinks we should use some of the extra funds to put on a celebratory concert for the student body.
  4. Kate is leaning more towards having a well-known speaker like Bill Clinton.
  5. Bryan Cowles thinks we should pursue maybe both a speaker and a concert but also thinks that students would like a concert more.
  6. Jae contacted Bill Clinton’s agent to see if he could come and speak here. He is worried about VCU’s attendance and doesn’t think that students would have a good turnout.
  7. Asif thinks that there would be a good turnout for the former president.
  8. Jazmin wants to put on a TED X talk. Kate explained that you can’t hold one unless someone has been to a talk before.
  9. Joey wants a survey to be opened to see who should be brought in to speak.
  10. Ryan thinks you are more likely to get a governor to come in and talk and also brought up bringing in the Blue Man Group.
  11. Chris brought up the fact that Bill Clinton is going to be here in Richmond in February and the tickets are sold out, so he thinks people would attend.
  12. Dr. Reed wants us to look at this as putting on a signature event instead of a one-time event. An example would be like putting on a speaker series so that we keep brining in big names and make a legacy.
  13. Asif thinks we should shy away from brining in a political speaker.
  14. Jazmin brought up Mika and how they put on an art show every year where they vend art and also bring in speakers and artists. She thinks this would be great since we are an art school and all of Richmond would get involved.
  15. Jae wants everyone to come up with ideas and bring them next week to the meeting to vote on.
  16. Kate wants to start an email thread so it can be a huge discussion.
  17. Bryan wants to know if we have an idea of how much we will spend on this. Jae explained that we wouldn’t use all of the money that we have left over and that in the thread we can discuss how much money we would want to use.

f.  Rams Day on the Hill Discussion - Ryan Garnowski & Jae Lee

  1. Ryan is going to recruit people to hand out flyers next week. He also wants us to promote the event on Facebook so that there are more likes. The flyers will be passed out outside of the commons for people to commit to coming. They have scheduled a breakfast with Mark Smith and the delegates. Ryan is just worried that if we don’t get a lot of people to come that Mark Smith is not going to work with us again for this event. Ryan presented the two flyers they will be using. The more informative one will be posted around the school.
  2. There is an interest meeting in the commons on Jan 28th for interest in Lobby Day to inform the students about what this event is on and to get contact info from the students. Jae wants to bring in the people from VA 21 to come talk at Senate. Jae wants us to contact him if we are interested in going.

g.  A10/NCAA Tournament Discussion- Dr. Reed

  1. We need to start discussing packages for tickets for these tournaments and transportation/hotel. The A10 tournament begins when we get back from spring break and is taking place in Brooklyn New York. Dr. Rodriguez explained that they have decided they will be selling tickets for cheap for the A-10 tournament but will not be setting up a deal for transportation and hotel for the students. For the NCAA tournament, the championship is in Atlanta, so they would be able to fill up buses and pack the stadium with students. The East regional championship will be held in DC, and they would also be able to send students to pack the stadium.
  2. Jae is going to send an email thread out so we can discuss this before our next meeting on Friday.
  3. Dr. Rodriguez explained that there is a time crunch because the A-10 tournament begins when we get back from spring break and the NCAA tournament begins right after the A-10 tournament ends.
