Safe Grad Party - Meeting#2 Minutes

Present: Jeff Nicolajsen, Joyce Nicolajsen, Tracy Owen, Brian Kokolsky, Doris Owen,Denny Morgan, Michelle Doerksen, Tim Doerksen, Marcy Platt, Carol Jeanson, Cathie Waldie, Shawna Pritchard, Christy Janzen, Donna Bruce, Barb McCullough, Jack McCullough, Tiffany Owen, Jack Phillips

  1. Committee Updates
  • Set up / Clean up – Jeff Nicolajsen, Rec commission will supply and bring picnic tables from town to the arena.
  • Transportation – Jeff Nicolajsen – Kinsmen are no longer in operation so cannot drive. Fire Dept is a possibility and waiting for word back from Rick Penner from the CDFD.
  • Entertainment / Prize and Fundraising -

For Fundraising, Cathie Waldie will look into Chocolates, Tim Doerksen will look into Mum’s from Vanderveens for Mothers Day, and Tessa Bruce will investigate having a car wash at Coop.

For Entertainment, Brian is waiting for price on package deals for DJ, mechanical bull, photo booth from Superb Entertainment. Students would also like the Bouncey Castle.

For Prizes, this will be based on money remaining from the fundraising.

  • Bar / Ticket Sellers – Denny Morgan will purchase the bar tickets
  • Food – Tracy Owen – Discussion around Slushies and Ice Drinks. Issue with Slushie machines is that they cannot keep up to the demand. Discussion around bringing in blenders to make shaved ice, but power requirements will blow out the breakers. Will make sure that there are coloured beverage glasses so that what people are drinking is not visible.
  • Liquor Permit – Jeff Nicolajsen will organize. Jeff, Brad Platt, Marci Platt, and Denny Morgan will have their names on the permit.
  • Medical – Michelle Doerksen has confirmed Carol Jeanson will assist. Will require both male and female parent volunteers so that people can go into both washrooms to assist. Will look at stocking up on pails and purchase rubber gloves.

3.Establishment of rules – Main changes from the Grad 2014 Rules and Regulation list include:

  • Moving number of guests to four per Grad (from six)
  • Adjusting age of students to grade 10 or higher and not born before 1995.
  • Doors open to Safe Grad from 11:00 pm to 12:00 am.

Discussion requiring student to not bring bags to the event. Bags should be left at home, and if they are brought would be stored in a secure location for the students.
