Logistics

  • 12 tables, each with one table host
  • Each table will be supplied with
  • Flipchart paper, crayons and pens
  • laminated copy of table topic with questions
  • event evaluation sheets
  • table numbers
  • Tables will be labelled; each table will be given a different table topic
  • As there are 12 tables, 2 tables will share the same topic
  • On the questionnaires there will be a number – this will identify which tables they will go to
  • Depending on total numbers at the event, there will be around 6-8 participants at a table
  • Individuals will engage in the table topic for 15 minutes after which we will instruct people to go to another table for 15 minutes and then repeat the process for a further 15minutes. That is, each delegate will visit three different tables and make their contributions
  • At the end of 3 rounds (45 minutes), everyone will return to their original table
  • The table host will then facilitate a collation of 3 key insights/ideas from the contributions (10 minutes to do this). This will be placed onto ONE sheet of flipchart and will form the basis of a poster presentation
  • Flipchart posters will be collated and ensure they go posted as an exhibition
  • Individuals will review the contributions from the whole event should they wish to at the end
  • Table hosts will feedback ONE key insight from the discussions
  • Key themes and insights will be summarised at the end of the event

Table host role (to be shared with 12 identified table hosts)

Thank you for agreeing to be a table host for the evening. Your role is an important one:

You will enable contributions from all and give participants the opportunity to share their ideas, concerns, insights

Avoid leading or influencing the discussions (hard as that might be!); a measure of success will be amount of talking you do (less than your visitors)

Remind people at your table to jot down key connections, ideas, discoveries and deeper questions as they emerge; encourage them to be creative and have fun!

Remain at the table when others leave and welcome travellers from other tables

There is not enough time to go through introductions – this session is dynamic and fast!

Briefly share key insights from the prior conversations so others can link and build using ideas from their respective tables

At the end of the hosting session, you will ensure that just three insights/ideas/comments have been captured clearly on a separate flipchart; post this flipchart on the wall as directed
