Functional Area: Grants Management / Add Cost Center GM Department
Purpose
Use this procedure to add a Cost Center to the GM Responsible Department Data Table, delete an existing Cost Center from the table or edit existing Cost Center data.
Trigger
Perform this procedure when you need to add, change or delete a cost center to a GM Responsible Department data table.
Prerequisites
Cost Center must be valid in the SAP Cost Center Table.
Menu Path
Use the following menu path to begin this transaction:
  • Enter ZAGM in the Command field to access the Grant Management Table maintenance folder.
  • Select Grants Management Table Maintenance ZTGM_RDD – Maintain GM Responsible Department Data to go to the Change View “Grants Management Responsible Department data”: Overview screen.

Business Process Information
UC grants are assigned to responsible Departments (i.e., Cost Centers) as determined by the Principal Investigator who owns the grant. The responsible Department controls the spending on the grant and maintains all of the grant financial data during the life of the grant. The information on the GM Responsible Department Data Table is entered on the Grant Master Record and the department receives communications from SPA based on the information on the Grant Master.

  • The R/O/C column in the field description tables below defines whether the field is required (R), optional (O), or conditional (C).
  • On certain screens you may have to scroll to view some data entry fields.

Procedure
1. / Start the transaction using the menu path or transaction code.
Change View "Grants Management Responsible Department data": Overview

2. / Click .
New Entries: Details of Added Entries

3. / As required, complete the following fields:
/ Although the system will allow you to leave fields blank be sure to fill in all fields on this screen so that the grant master records will have complete data.
4. / Click .
New Entries: Details of Added Entries (2)

5. / Click .
/ The system displays the following message: “Data was saved”.

6. / Perform one of the following:
If You Want To / Go To
Delete a line / Step 7
Exit this transaction / Step 10
/ You can edit all fields in the GM Responsible Department data table for a Cost Center. If you want to change a Cost Center number it is necessary to delete the Cost Center and re-enter it with the correct number. The procedure below describes how to delete a Cost Center from the table.

7. / Highlight the Cost Center you want to delete.
8. / Click .

9. / Click .
/ The system displays the following message: “Number of deleted entries: 1”.

10. / Clickto return to the SAP Easy Access screen.
/ The system displays the following message: “Data was saved”.
11. / You have completed this transaction.
