Fraternity and Sorority Affairs

Intake Guidelines

This policy applies to the Diversified Greek Council (DGC) and National Pan-Hellenic Council (NPHC).

Eligibility

  • Groups in good standing with the University at Albany & their (Inter) national headquarters are eligible to conduct intake.
  • Groups must get permission for intake prior to any intake activities (interest meetings, flyers, etc.).
  • Any U Albany undergraduate student with a 2.50 cumulative GPA is eligible for intake (this applies to all fraternities and sororities). Greek Affairs will verify the GPA’s. If the organization’s Inter/national headquarters requires a higher GPA, the Fraternity and Sorority Affairs will defer to that requirement.

Pre-Pledge Programs

Some Inter/national organizations allow/mandate chapters to have a pre-pledge program where interested candidates are required to attend programs and conduct community service projects prior to participating in a New Member Education Process. The Office of Student Involvement-Greek Affairs will allow organizations to conduct these programs only if they abide by the following regulations:

  • Submit to the Office of Student Involvement-Greek Affairs, at the beginning of each academic year, a copy of your Inter/national pre-pledge program.
  • Submit a signed letter from an Inter/national or ranking regional officer stating your chapter has permission to conduct a pre-pledge program.
  • Submit a list of students, along with SUNY ID numbers, who will be participating in the program.
  • Submit a Pre-Pledge Program Form for each student after each mandated event.

Intake Process

  • Intake can occur in either the Fall or Spring semester. Summer semester pledge classes are not recognized by the University at Albany.
  • A meeting must be held between the undergraduate chapter president, intake coordinator, and the Coordinator of Fraternity and Sorority Affairs, to get approval for intake, three (3) business days prior to the start of any membership-intake related activities. Graduate Advisors may attend this meeting (this can be held after-hours for convenience of advisors). At this time, groups will be responsible for signing up for Greek Life 101 and 102 sessions.
  • Groups must submit the following to the Coordinator of Greek Affairs, three (3) business days prior to any activities:
  1. Permission to Conduct Membership Intake Program Form
  2. Completed Registration Packet
  3. National Intake/Pledge Program Documentation
  4. Liability Insurance Documentation
  5. Roster of State, Regional, & National Contacts
  6. An Inter/national approved schedule of intake activities from the interest meetings to initiation, including any surfacings and/or probate shows. This list will remain confidential.
  • Fraternity and Sorority Affairs will verify the GPA of those going through the intake process prior to any activity (this is done for all fraternities and sororities) and will send the information to both the Graduate Advisor and chapter president.
  • All intake activities, including initiation, must be complete by the date indicated by the Coordinator of Fraternity and Sorority Affairs.

Required Activities

All those going through the intake process must:

  • Attend the Greek Convocation and submit a signed New Member Contract the night of the convocation.
  • Attend Greek Life 102 and 103 and sign the certificate sheets (this is done for all fraternities and sororities).

Wearing Gear

  • Not all groups are allowed to wear gear due to their national policies
  • Those groups who do participate in these activities must submit a Gear Form to the Coordinator of Fraternity and Sorority Affairs three (3) business days prior to the start of these activities.
  • The coordinator of Fraternity and Sorority Affairs reserves the right to determine when and where gear and marching can and cannot take place. (Ex.University awards ceremonies, banquets, formal events, etc are not considered appropriate events to wear gear and to march.)
  • If the gear worn is inappropriate or is worn at an inappropriate event, the organization will lose its gear wearing privileges.
  • Marching, chanting, line ups, locking up, and greeting in any form is no longer allowed on campus.

Surfacings/Probates

  • Not all groups are allowed conduct surfacings and probates due to their national policies
  • Groups need to verify with Fraternity and Sorority Affairs at least seven (7) business days in advance of the show and sign the marching and gear form
  • During the show there will be no disrespecting other Greeks or any other people.
  • No chapters of your organization from other schools may probate or surface on this campus.
