  • Request to add Highest ACT/SAT subtest scores and Delivery Method to DR that Merideth is working on since we no longer can use query 99 or 103 as it is now a system office query: Debi Melby
  • Merideth will submit some ideas to the DR Committee for further review. If anyone has additional comments or want to request additions, contact Merideth.
  • Common Application-Dual Credit: Lisa Johnson
  • DPI is comfortable to not route DC apps through DPI. They are interested in creating an extract report that includes the courses dual credit students are enrolled in along with other demographic data. Ryan Townsend is the representative Lisa (NDUS) is working with – may direct him to SITS staff to draft a query or create an extract. Mary (SITS) stated that they just submitted information of DC and Early Entry students from last year.
  • Review of Dual Credit students, which application Hobson’s should send over: Recent App = New App coming over and Current App = Matriculated App: Kylie Litten (Hobsons) & Karen Erickson
  • Kylie was unable to attend the meeting today. She will be invited to the next meeting to continue this discussion.
  • Application updates: Mary Bergstrom
  • There were no questions about the new Residency/Application Info PeopleSoft tabs
  • GED Policy ReviewTests of General Educational Development (GED) may be used to satisfy the high school graduation requirement.– Lisa Johnson
  • The part in yellow is what the policy will state if approved.
  • NDUS has received requests in the past from schools to receive an exception to the current wording of this policy due to students receiving a GED prior to their class’s graduation date. The recommendation is to completely remove the portion of the policy that indicates a specific period of time when the GED would be accepted. In the policy related to 4-year baccalaureate programs (402.2), Lisa suggested adding similar language from the GED policy. There was no opposition to either recommendation. GED applicants for fall 2013 – can we admit them if they’re graduating class hasn’t graduated? Yes, but Lisa requested that institutions with this issue or similar should send a memo to NDUS since the policy has yet to be fully updated and approved.
  • New GED scores: Debi Melby
  • Seinquis will draft the DR for updating GED scores in PeopleSoft (Test Results). Will keep this item on the agenda for next month’s meeting
  • NDUS Admission Calculator Update: MeridethSherlin
  • No updates from Merideth. Lisa stated that Cameron, programmer, was working on the calculator but is no longer an employee of NDUS, so the updates process has been halted. No additions have been made since last month’s meeting. She also referred to the email she sent to the user group on 7/17 regarding Pathways to Student Success, including an email from Interim Vice Chancellor, Mike Hillman.
  • Side comment: Changes to the listserv can be changed to by submitting a help ticket.

New Business

  • Readmit Process/RAPL: Stephanie Shock
  • Stephanie asked about the addition of Admit Types (Readmit) to questions #1 (I am applying as a…). The responsibility of readmission applications is different across campuses. What about students who are suspended? Then it usually becomes a collaborative effort between Admissions and Records. In order to make this change, all campuses have to use the same process to produce accurate data – will have to work with the Registrar group. Lisa supports adding this to the common application as long as processes are consistent across the state. Adding a new application for readmits does not create a new career, but there is a process involved to make sure this does not occur. Jackie (Mayville) will create a document to distribute across campuses for the readmission process. All campuses are encouraged to distribute their internal processes so we can develop best practices. Lisa will present this issue to the Records group as well. Mary stated that having Admissions responsible for this process would be preferable for programming purposes. Campuses should add a supplemental admit type question so they can match applicant responses to the common app Admit Type question to code appropriately.
  • Recommendations for annual updates process from MSU and UND
  • Be sure to test the application through many different lenses/admit types; test even after the application goes live. Review the PDF before and after the application is live. The common application will be standard across all campuses, so campuses need to be prepared to move any preexisting questions or business rules to their supplemental sections. Changes to the common application cannot be made. Feel free to reach out to Deb or Seinquis if you have any questions about the process.
  • Previously applied & previously attended questions – The questions are included in the common application portion of the ONLINE application, but campuses will need to add it to their SUPPLEMENTAL Word/PDF document if they want to view the question responses outside of PeopleSoft (i.e. on the paper application). These questions were not forgotten on the PDF because the subgroup intentionally wanted these questions removed. However, through later conversations, it was expressed that these questions were necessary for multiple purposes (business rules, fee scripts, etc.).
  • Changing the Color of Stage: Stephanie Shock
  • No opposition to this request. DR Committee (Steph) will send a request to Mary.
  • NDUS Staff Updates
  • Dr. Skogen interim appointment (about 2 months). Dr. Hillman interim appointment (about 4 months). Lisa will share more as more information is available.

  • Campus Solutions Report –Tom McNaughton & Staff
  • Pathways tab in PeopleSoft – Mary
  • If changes are made to any of the criteria on the Pathways page, a new row of data will be added upon Save and re-entering the students application. None of the fields on this tab are editable – you have to go to the actual input fields to change this field. Only 15 core courses will be included in the calculation, but schools can input more than that into the fields. GPAs over 4.0 – Refer to Lisa’s email sent on 7/17; any GPA over 4.0 will calculate to a 4.0. ACT/SAT Concordance table used in PeopleSoft will also be used for the NDUS Calculator. There is not consistency for SAT score records – some use ‘Verbal’, while others use ‘Reading’, and composite scores are not calculated the same way across all campuses.
  • Because the current view shows Math and Critical Reading as the way to determine Composite SAT, and because most of us are also entering the score in this way, is there a reason why we can’t just show the SAT Comp score rather than showing the sub scores? Everyone should report to Meredith on how you enter SAT.
