Minutes of Meeting held on Dec. 8, 2014:

The Minutes of the meeting held on Dec. 8, 2014 were presented and accepted as read.

Treasurer’s report:

Jody reported that the balance in the checking account equals $10,599.10. The Vanguard account is valued at $46,341.75.

Host Farm Insurance Certificates:

Denise reminded everyone that a number of host farms have not provided the WHVPHA with renewed certificates of insurance.

Points Keeping:

Monica reported that the laptop that she had been using for points keeping had gotten a virus. She purchased a new laptop and had the Org.Pro program downloaded onto the new computer. She in the process of restoring data to the new computer and will be able to update points from the missing shows as soon as the computer is fully restored.

One problem that has been an issue is the fact that the data (Memberships, Horses, and results) from previous years is not archived on our website and therefore cannot be accessed by users. Monica will address this issue with David, the Org.Pro programmer.

2014 – 2015 Rules:

A number of competitors and farms have expressed their concern that some divisions have not been filling due to the requirement that there must be 3 riders in restricted classes (since they cannot be combined) in order for their points to be counted. This has created a hardship on the trainers and competitors who arrive at a show and find that they cannot compete due to this restriction.

In order to address this issue, and encourage more riders to show, the membership attending the meeting unanimously voted to allow a class to count for points with only 2 riders, however, only half points will be awarded to these riders. (5 and 3, not 10 and 6). This will be effective as of 2/28/15. Monica will make sure that the program can accommodate this change.

Annette reiterated the Rule that states: Once a rider moves up a division (restricted division), they are no longer eligible to receive points in a lower division. However, any points that they have already accumulated will still count for year-end awards. Annette noted that the Rule Book needs to be amended to state “restricted divisions”.

Restricted Divisions are Short Stirrup, Mini Stirrup, Beginner Rider and Pre-Children’s. Riders are free to move up and down in unrestricted divisions.

Website Postings and Enhancements:

Jody will get the password for the website from Sheryl, in order to allow us to update postings.

Denise reported that Alex Roman had provided us a mock-up website that she needed to review. Jody mentioned that Danielle Moraski offered to design our website. Annette has requested Jody to provide us with the fee she will charge.

WHVPHA Policy:

Annette reiterated the standing policy of the WHVPHA that allows a host farm to apply to reschedule a horse show in the event of extenuating circumstances.

Correspondence:

Denise reported that we received a lovely thank you letter from Ana Marie Bonventre for the gift that we had sent to her while she was recovering from a heart attack.
