IfyouareofferedaGraduateStudentInstructor(GSI),*GraduateStudentResearcher(GSR),Reader,orTutorposition, youwillneedtocompletea“StudentAcademicAppointmentApplication.” YoucanobtainthisformfromtheBusinessServicesOffice. Itisalsoavailableonthe School’swebsite:

Theapplicationprocessconsistsofseveral"steps"whicharelistedontheform.After youhavecompletedSteps

1AB,2,and3ontheform, please submittheAppointmentApplicationtoJunko Kiross,intheBusinessServicesOffice(Rm.1615TolmanHall),tobeginthehiringprocess.

Fromthere,yourappointmentapplicationwillbeforwardedtostaffintheStudentAcademicServicesOfficetoverify youracademiceligibilityfortheappointment(GPA,“I”grades,registrationstatus,"normativetime"progress). Please notethatifyouarebehindinyour degree progress,therewillbeadelay(togivetheHeadGraduateAdvisertime tocontactyouand/oryouradviser,abouttheappointment).Onceyouracademiceligibilityhasbeenapproved,SAS staffwillreturntheformtotheBusinessServicesOfficeforsubmissiontopayroll.

SummerBreak Appointment for GSR only: 4/11/18 (New hire and rehire students need to submit the application form. Continuous students need to send an appointment email request.)

Fall Semester 2018 Appointment: 5/4/18(All students need to submit the application form.)

GraduateDivisionrequirementsinclude: (also see:

3.CompleteanonlinecourseonProfessionalStandardsandEthicsinTeachingbythe4thweekofclass. First-timeGSIsmustcompletetheUAW“MembershipElection”form,andattendaUAWOrientation. AppointmentRestrictions:

Studentson“FilingFee”statusarenoteligibletoholdacademicappointments.

StudentsplacedonacademicprobationbytheGradDivision arenoteligibletohold anappointment.

StudentsreceivingtheDean’sNormativeTimeFellowshiparenoteligibletoholdappointmentsforboth semesterstheyreceivetheaward. One25%timeappointmentisallowed(foronesemester).

Studentsreceivingfullfellowship support (stipendplusfees)arelimitedto25%timepersemester(or50%

timeforonesemesteronly).

NEW:Studentscanwork asGSIforamaximumof8semestersinGSEcourses(doesn’t apply tonon-GSE

courses).

ExceptionalAppointmentRequests

Theserequestsrequirethesubmissionofa”RequestforException”form (inadditiontotheappointmentapplication), andtheapprovaloftheHeadGraduateAdviser. Studentsrequestinganexceptionmustbemakinggoodprogress towardtheirdegree.Requestsarereviewedonacase-by-casebasis. Exceptionformsareavailablefromyour Area/Programoffice,theStudentAcademicServicesOffice,theBusinessServicesOffice,ortheSchool’swebsite:

AppointmentsthatrequirethesubmissionofaRequestforExceptionforminclude:

• Percenttimeforallappointmentsheldexceeds50%(butnotmorethan75%). Note:Requeststowork morethan

50%timeduringtheacademicyearmayonlybeapprovedonceandonlyforonesemester(Exception: Federalregulationsprohibitforeignstudentsfromworkingmorethan50%timeduringtheacademicyear).During thewinterintersessionandsummerbreak,appointmentsupto100%timeareallowedwithoutanexception.

• GSI,Reader,orTutor(notadvancedtodoctoralcandidacy)assistingin200levelcourse.

• GSIbeingpromotedearlyfromStepItoStepII,orfromStepIItoStepIII.

FeeandSHIPRemissionPrograms/FeePaymentProcedures

(Forsalary/remissionamounts,goto

Graduatestudentsappointedfor25%timeorgreater,fortheentiresemester,asaGSI,GSR(orcombinationofboth titles)areeligibleforpartialfeeremission,andfullremissionoftheStudentHealthInsurancePremium(SHIP).

GraduatestudentswithGSR(only)appointmentsat45%timeorgreater areeligibleforfullfeeremission,

includingnon-residenttuition(ifapplicable),andremissionoftheStudentHealthInsurancePremium(SHIP).

FinancialAidrecipientswhoqualifyforfeeremissionneedtoreportthis (award) informationtotheFinancial

AidOffice.

SHIPenrollmentinformationandHealthInsuranceWaiver forms maybeobtainedfrom theUniversityHealth

ServicesattheTangCenter,2222BancroftWay (

FeePaymentProcedures:EligiblestudentswillreceiveacreditontheirUniversityCARSaccountintheamountofthe remittablefeesafterthehiringdepartmententerstheappointmentinthePayrollSystem.Pleasenotethatstudents

areresponsibleformakingsurethattheir feesarepaidbyUCBdeadlines.

Inmostcases,feepaymentsareduebeforeappointmentsareapproved(theadministrativeprocessforfeeremissions takesapproximately2-3weeksfromthetimeyousubmityourappointmentapplicationtothedepartmentofficeuntilthe feeremissioncreditappearsonyourCARSaccount). Forthisreason,ifwehavenotreceivedyourappointment

applicationpaperworkbyAugust15th(theduedateforregulationfees/tuition)youwillneedtopayatleast20%ofthe

registrationfees/tuition.TodothisyoucanusetheDeferredPaymentPlan.Underthisoptiona$40chargeisassessed, butit’sreimbursedforstudentswhohold45%timeorgreaterGSRappointments(thoseeligibleforfullfeeremission).

Timesheets

GSIsarenotrequiredtosubmittimesheets,buttimesheetsarerequiredforstudentsholdingGSR,ReaderorTutor appointments.Submissionoflatetimesheetsnotonlyresultsinlatereceiptofpaychecks,butitcanalsoresultin appointmentseparationsduetopayrollinactivitycreatingproblemswithfeeremission.Insomecases,thiscouldresult inareversalofyourfeeremissionbytheGraduateDivision. CheckwiththeBusinessServicesOfficefortimesheet forms,instructionsanddeadlines.

AppointmentrenewalsmustbesubmittedtotheBusinessServicesOfficeaminimumofonemonthinadvance.
