1.Instructions

1.1The Serious Incident Management Pack can be found in the following places:

Section 27 of the Health and Safety Manual at each site.

Each Assistant Manager, Club Manager and Regional Manager (personal copy to be kept at home).

Managing Director and Board Directors (personal copy to be kept at home).

Peel House (at reception).

A copy will be issued to the Hotel if requested by them.

1.2The pack should be used for any serious incident such as bomb threat, gas leak, resuscitation, rescue, fatality, pollution incident.

1.3 All staff will be trained in the use of the pack by the Site Health and Safety Manager / Club Manager.

1.4If a particular person in the reporting line cannot be contacted, the next person on the list should be notified.

4.4 / Ask staff involved to each complete a ‘Personal Notes’ sheet – take a copy of each one – originals to be retained by staff.
4.5 / Do not conduct a staff debriefing but use ‘Personal Notes’ sheets to prepare a short, immediate, written report for senior Company Management & Client.
4.6 / Nominate a reliable member of staff to quietly go round the building to keep all members of staff informed, tell staff that they should not comment to the media or anyone else – the GM will handle this aspect.
4.7 / Ensure centre is running effectively and ring for extra staff, if required.

  1. PREPARING A MEDIA STATEMENT
General Notes
  • Draft press release and liaise with H&S Consultant (Keith Sach) to finalise.
  • Prepare agreed final version.
When Requests for Information are Made:
  • Confirm who is telephoning and which organisation they are representing. Take a contact number and fax number; advise them that you will fax a statement to them.
  • Do not give any information verbally; do not read out press release.
Include
  • Date – ‘No Embargo’
  • Date/place/brief and uncomplicated statement with key facts:- ‘they became unwell’ rather than ‘unconscious and not breathing’.

Quote positively:-

Do not include any names of staff or the person(s) injured.

Avoid ‘died at the Centre’.

Avoid liability admission/rejection/attempt to justify actions.

Don’t give the opportunity for a headline.

‘It wouldn’t be appropriate to comment further as coroner/social services is/are involved’

‘Will be/are co-operating with the relevant authorities’

‘An investigation has begun’

‘No-one was hurt’
