Copy Cataloging Cheat Sheet:

Promptcat (OCLC record not needed)

  1. Search by title (by author forfiction: PQ,PR,PS,PT, etc.) / isbnin Millennium. Put in Cat Date
  2. Duplicate? Reference? 300 (Oversize? >=34 cm or <=10 cm)
  3. Call no. usable?/for non-fiction, 6XX exists? English language record? If not, place on NO 090 shelf. Place books with disks on Shelf behind TH’s desk.
  4. Do not use JX, Z5000-7999 (with some minor exceptions), PS 8000-, FC, PZ (except for CURRIC)
  5. Classify new edition with existing call no. & location of previous edition.
  6. If Cruzcat has other fiction by the same author, treat record as usable. Copy author call number from Cruzcat, add 2-3 digit cutter and date.
  7. Change 050 to either 050 04 or 090 if adjusting cutter no.
  8. Verify 020/024, 245, 250, 260, 1XX, 4XX/830, 504 & edit if needed. 245 |a |b should be a straight transcription. CIP records require careful checking editing, especially 245, 300. e.g.504 Includes bibliographical references (p. [247]-259) and index. (Whenthe book includes CD’s then place it on the shelf [Books with disks] behind Terra’s workstation).
  9. 008/260/call no. dates should all match (111field / except conferences)
  10. For non-fiction, verify call no. (through Classweb) if not found in Cruzcat
  11. Update bib Loc/today’s date/y
  12. Summary/Update Item Loc/Label Location/V/STA if needed, write call no. in book, put jacket in appropriatebox, add BC/duplicate check y, add label queue, save

Blackwell/Firm Order (Need OCLC record):

  1. Search by title in Cruzcat (by author forfiction) / isbn
  2. [If full Cruzcat record found, use steps 2-12 above. Create item record if missing].
  3. If Cruzcat record not usable, search OCLC by ISBN/title/author-title. Select DLC, pcc or record with most holdings. If no OCLC record, place on Original Shelf.
  4. If you overlay an existing OCLC record in Cruzcat by ANOTHER OCLC record, DEL HOLDINGS in OCLC for the overlaid record
  5. Perform steps 2-10 above on OCLC record
  6. Change 049 to generate correct Cruzcat bib location (e.g. CUZA)
  7. Apply CD from List (copy .b from Cruzcat and paste in 949, e.g. *loc=mstax/sta=a/ov=.b; to overlay)
  8. Close Cruzcat record (very important)
  9. UPDATE HOLDINGS/EXPORT RECORD IN MARC
  10. Search title in Cruzcat, verify record is correct
  11. Perform steps 11-12 above as needed

Books with no Cruzcat records, e.g gifts (need OCLC record):

  1. Search by title in Cruzcat (by author to find fiction author call no.)
  2. Search ISBN/author/title in OCLC. Perform d-g, i-k (949 e.g. *loc=mstax/sta=a/ov= ; to create Cruzcat item record & no overlay)

Multi-vol. requires V in Item Record and 934(e.g. Library has: v.1-3).

Second copy requires C in Item Record and 934 (e.g. Library has: c. 1-2)

Gifts & Endowments might require 541, bookmark the link to the Endowment spreadsheet:

S&E call no.: G-GE, Q-TP, TS-Z (Z for mref is OK, but question QRST for mref)

REF LAW call no.: only K is allowed. Items designated for REF LAW, but have a non-K call no. can automatically go to REF

Put books with more than 6 lines in call number on special Preservation shelf
