Rugby & Northampton Athletics Club: General Committee Meeting

1. Matters arising
1.1 Use of Princethorpe for XC meeting: still outstanding, agreed to wait 3 more weeks and if not agreed will revert to using Abington Park..
1.2 Keys for athletes using Rugby: list of key holders now produced.
1.3 Winter training: Temporary lighting at Caroline Chisholm School being investigated but mainly indoor training planned for winter which will not be weather reliant.
1.4 Response to RW email – JH to action
1.5 Charity of the Year: BT will arrange for a representative of the charity to be at presentation evening and will launch there.
2. Northampton Track
2.1 Planning permission ongoing. ‘Urban Myth’ that there have been lots of objections.
2.2 England Athletics now providing more input into track and facilities but little overall support.
3. Rugby Clubhouse
3.1 Issue of non-working boiler: now resolved
4. Finance
4.1 Reports reviewed and noted that there has been a lot of expenditure in month with lots of coach travel costs.
4.2 Star Track: no Northampton week this year, successful weeks otherwise with young coaches involved. BT gave summary of this year’s Star Track activities. Sports centre looking to run every week in summer holiday next year.

5.2 Member stands at 990 members, Rugby 540 (LRG 165) and Northampton 450. Qualified coaches 86, qualified officials 26.
5.3 Outstanding renewals from April now only 35 all have been notified of their suspension and at the end of September will have their membership cancelled
5.4 The issue over England Athletics fixed registration year rather than our own rolling membership year raised again. Team Managers must ensure that team members ARE registered.
5.5 England Athletics affiliation fees for 2015 are to be £12 for members and club affiliation fee £100.

6.2 YDL Finals
The club is consistently making both finals (upper and lower age groups). Really good performance from athletes in finals but need for better team management for lower age group. Meeting later this month to ensure good coverage of team management.
Upper age group - Finished 7th, lost two athletes to injury in the week before. Some other regulars missing, no strength in depth. Key message is that we got to both finals along with Blackheath & Bromley as the only other club with teams in both finals. Need to better manage the transition between the two age groups. Ladder process already in place at Northampton.
6.3 Club Championships – taking place next weekend.
7. Governance
7.1 None.
8. Road Races
8.1 Rugby 10: Course has been remeasured. A few more marshals volunteered but more needed.
9. Communications
9.1 Website: Now up to date. JH asked again about renaming the ‘Join Us’ section to encourage membership enquiries via this section rather than most coming in via the general enquiries.
9.2 PR Support and Sponsorship: Getting better in having reports in press and repeated on website. Close to approaching companies for sponsorship for next year.

11. AOB/Correspondence
11.1 Officials Training (Kim Elder email). Discussed in detail but committee not prepared to make members pay for places on courses. Committed to 10 places on February’s course
11.2 Club presentation evening: 3rd October, venue booked and paid for, food paid for. Awaiting award nominations.
11.3 David Hart Physio: Relevant to Rugby but less so for Northampton athletes, Athletes already being sent from Rugby. Club already has Jamie Fearn. To be discussed again at October meeting.
11.4 Mini-ipads – JE to pass to AS
11.5 Members aged 18 or over 419
11.6 YDL- proposal to regionalise the regions. Possibly 3 matches + regional final. Awaiting outcome due to various views on what should happen.
11.7 Heart of England- AGM coming up
