12 / Please note that owners regularly carry out inspection/ environmental audit of the vessel. Please pay attention to the following specific environmental requirements, besides following AESM’s procedures.
a)Vessel must be in possession of VGP and it should be included in the list of certificates.
b)VGP Fact sheet must be available with the Master.
c)Irrespective of vessel trading area the VGP weekly inspections must be done timely and recorded in the checklist on all Genmar owned vessels. The checklist can be maintained in the NPDES Record Book.
d)Vessel must be in possession of the Technical file for MARPOL Annex VI and record for changes/ maintenance is done properly. This should be included in the Chief Engineer's takeover checklist.
e)Please be familiar with the operation of the White Box. The training CBT has been supplied to the vessel.
f)The White box data must be compared with the ORB entries for last six months on the taking over by Chief Engineer and any discrepancy observed to be reported to the office.
13 / It is recommended that in US ports, vessels should make the following log entry in the log book every watch - "Safety, Security and Environmental rounds taken and found all in order"

15 / With regards to agency appointment, please note that AESM AE MARINE to be consulted for appointment.
16 / Please use the revised version (Rev.2- 06/2012) of owner specific Port Consumption (OP 121) and Voyage Performance forms (OP 122). The main changes in the revised forms correspond to the inclusion of additional fields to cover all types of fuels currently in use (high and low sulphur content).

1 / The ships generally have boiler, tank cleaning (Squeezing) and tank cleaning machine related issues. Boiler water must be treated properly.Maintain conductivity < 500 at all times. Do use the scum blow rather than bottom blow down.
2 / Steam lines, boiler, tank cleaning machines and tank cleaning heater needs to be kept in good operational readiness at all times.
3 / The cosmetics on deck are always a major issue for vetting and 3rd party inspections- proper maintenance must be carried out and reported. The weekly and bi monthly reports provide an excel sheet with the mapping.

  • Kindly be reminded to ensure compliance with BW exchange and BW chlorination regulations for Cholera prevention,
  • Please note that this is very high risk area for Sea Borne Drug Smuggling and be on alert accordingly.
  • Kindly beware in case of transiting River Plate that in certain sections the banks shift continually and buoys may drift out of position or the buoyage may not yet have been re-aligned to the navigable channel, for which the most up-to-date information must be obtained from the local Agent or the Pilot authority in good time before the transit and extra care is to be taken when navigating in suspect areas.
  • Kindly be warned that exorbitant fines are imposed on ships for any misdeclaration of bunkers, lubes, paints, spares, equipment stores, cargo or crew's personal effects.The Customs or other authorities will look for the slightest excuse, even minor, innocent, discrepancies or mistakes, to levy huge fines (USD20-30,000 upwards) and/or extort underhanded payments.Please, therefore, ensure that all port papers and customs declarations are prepared carefully and accurately, all items and quantities are diligently accounted for and declared according to local regulations and requirements, to be ascertained by you from port agent early to allow you sufficient time to ensure proper compliance.
  • Visas for family carriage must be obtained. Large fines up to USD 10,000/- may be expected in case of non-compliance.
