Setting up Voice Mail – Halls of Residence

Voice Mail is an electronic voice messaging system that gives you a convenient and dependable way to communicate with people both inside and outside the University. Voice Mail answers your calls when you are on or away from your phone.

You can get help at any time while using Voice Mail. The help is context-sensitive. This means that when you press the help key, you are told which commands are available for that feature:

·  For General help press *

·  For Message command help press 7*

·  For Mailbox command help press 8*

To Access your Voice Mail

1.  Dial the Voice Mail access number (6001) — this logs you into Voice Mail.

2.  Enter your mailbox number (your extension number) and then press #.

3.  Enter your password (initially set to your extension number), and then press #.

To Change your Password

For security reasons, you should immediately change your password from the one you were first assigned.

1.  While logged into Voice Mail, press 84. You will hear a voice prompt asking for a new password.

2.  Enter your new password, followed by #. Your password may be from 4 to 16 characters (numbers or letters, except the characters # and *).

Recording a Personal Verification

This is used:

• when you leave a message on another mailbox

• to identify your mailbox when express messaging is used to leave you a message

• when you divert to voice mail if you are on the phone

To record your personal verification

1.  press 89

2.  press 5 to start the recording

3.  press # to end the recording

Recording a Greeting

There are three types of greetings available:

• External – this is the only greeting you need to record

• Internal – only other people with voicemail will hear this greeting

• Temporary – overrides your other greetings for a set period of time

To record your greeting:

1.  press 82

2.  press 1 (for external), 2 (for internal) or 3 (for temporary)

3.  press 5 to record

4.  press # to end the recording

To complete setting up your voice mail, you will need to divert your phone to 6001 (Voice Mail) to receive messages

Diverting your Phone

From your phone, lift the receiver and dial one or more of the following (replacing the receiver after each). You need to do at least one of the diverts to have any calls going to your voice mail.

* 771 6001 to divert to voice mail on no answer (i.e., when the phone doesn’t get

answered).

* 772 6001 to divert to voice mail on busy (i.e., if you are on the phone)

* 775 0 sets the number of rings before diverting: 0 for 8 rings, 1 for 6 rings or 2 for

4 rings.

• To cancel diversions replace 3000 with your extension number.

• To immediately forward all your calls to voice mail (i.e., phone doesn’t ring at all) dial

# 1 6001

• To cancel the immediate forwarding of all your calls to voice mail dial #1

To Clear your Messages

Your phone may have a message-waiting light to indicate new message, or you may hear a special dial tone when you pick up the handset. When you play your messages, new messages play first, followed by previously played messages.
Log into the voice mail messaging system and listen to the mailbox summary. You will hear the number of new messages and whether any of them are urgent. You can then listen to the first message’s “envelope”. This will play the sender’s name (if they have voicemail and use the personal identification, otherwise you will hear what extension called or if the call was external) along with the date and time of the message.
When in your Hall of Residence dial 6001 and follow the instructions

When off-campus dial 471 6001 and follow the instructions

Commonly used codes

• 5 Record

• 2 Play

• 6 Next message

• 76 Delete. If you do not delete a message you have listened to, it will be saved in your 4

minutes (standard voice mail box) of saved message storage time. There is no limit to the number of incoming messages. Messages are not fully deleted until you hang up so dial 6 to continue around until you get the message again.
