Key Wizard

Key Wizard’s software package includes:

System Requirements

The program requires Windows XP, Windows 7 (32-bit or 64-bit), Windows 8, a 350 MHz processor or greater, a CD drive, 16 MB RAM, 60 MB of hard disk space and a mouse pointing device.

Software Versions

The software is available in a single PC and network version. The single PC version can only be installed on one PC. The network version provides an unlimited user license and can be installed on multiple PCs and a network as long as the PCs belong to the same company.

Key Wizard Demo CD

A free demo CD is available; it can also be downloaded from keywizard.net or from corbinrusswin.com, sargentlock.com or yalecommercial.com. The demo has the same functionality of the full working version, with the exception of importing data and setting security levels. It allows you to add/delete keys, add keyholders, issue/return keys to stock, and input location information.The number of records that can be entered is limited.

Quick Start Guide

The Quick Start Guide allows you to get up and running very quickly by following 8 easy steps. Extensive pop-up tips and help files are just a click away. The help files can be printed out in their entirety by using Acrobat Reader which is included on the program CD.


Software License – Pre-Registration

The information on the software license sheet allows you to launch the software for the first time. Software owners are pre-registered and will receive free upgrades and technical support for the first year.After the first year a yearly maintenance agreement can be purchased for $129 net.

Technical Support

Technical support is provided from 8 a.m. to 5 p.m. EST, Monday through Friday via an “800” number to all registered software owners. Phones are answered “Key Wizard Technical Support”.

Additional technical support, frequently asked questions, help files along with import templates can be found at keywizard.net 24/7.

Login

The default login & password is “ADMIN” (not case sensitive). You are allowed three tries before the software shuts down if you do not enter the correct login and password.

Opening Screen - Microsoft Outlook Layout

Key Wizard uses a Microsoft Outlook layout screen appearance, which helps to keep the screen uncluttered and easier to navigate.

At the top of the screen is a tool bar, it consists of; File, View, Setup/Maintenance, Utility, Security, and Help.

The primary icons are on the left-hand side of the screen.

  • By selecting the MK-System box in the lower left-hand corner, additional icons are brought up.
  • The icons are placed in the order in which they are used.

Extensive pop-up tips and help files guide you through each task.

Security

The login password may be changed by going to Set Passwords & Security Levels/Change.

Also from Set Passwords & Security Levels you can set the levels of access an individual will have to the software by going to Add New, Change or Delete. Users can be granted the privilege to perform various functions such as viewing editing individual screens andgenerating issuing keys.

End-User Button

This is where end-users are added; end-users also refers to the actual facility or complex whose key control records are going to be facilitated. This screen also allows you to see a list of all master key systems for a particular end-user. Select the System Tree and then expand all to see a list of master key systems. This feature is useful when there are multiple end-users.

By double clicking on an end-user, the Master Key Systems will show a list of master key systems for the selected end-user/facility.

Adding a new master key system - choose Standard Key Coding, Modified Key Coding, or Misc. Items. A choice is given to turn off the requirement to enter key bittings. The number of levels of keying should be determined prior to creating a master key system so that Key Wizard provides proper key tracking for each location.

Keyholders

By simply selecting a tab at the bottom of the Keyholder (ID#) screen, keyholders can be sorted alphabetically by last name, or Keyholder ID number. To search for a particular keyholder simply type the first few letters of the person’s last name in the Keyholder Locator field.

JPEG type files that contain sample signatures and photos can be imported into the keyholder screen. This feature can be used to verify the identity of a person before keys are issued to them.

When a keyholder name is highlighted, a list of keys that have been issued to that keyholder appears at the bottom of the screen. To see what locations the issued keys fit, simply select the Access Tree box and then expand all. This feature allows you to see what keys were issued to a keyholder and what those keys access.

Issuing Keys

From the Keyholders screen, select the Issue Keys button. Select the key symbol from the drop down list. The locations that the key operates will appear below. This gives you the opportunity to verify that this is the key you wish to issue. A serial number can be assigned to the issued key or you can use the system copy number drop if you wish to assign a different system copy number.

Keys can be issued on a temporary basis and will show up on the overdue key reminder pop-up. If the key is being authorized by a specific individual, you may choose the name from the Key Issue Authorizer List.

Key Wizard allows you to track key deposits. Enter the amount, if any, on this screen. The bottom of the screen lists how many keys are on the hook, how many keys have been issued and whether any have been lost, broken, loaned or destroyed.

After selecting save you will have the option of printing a key receipt. Either a large or small receipt can be printed. Small receipts can only be printed when the proper printer is connected.

Keys

The key symbol is broken down into 2 parts to enable the system to provide true key symbol sorting. Enter manufacturer, keyway and blind code (may be pasted from the key symbol field). Key cabinet and hook number are optional. Enter the key description to help you identify the key. Select number of pins and input bittings and angles.

Key Wizard will track double cuts and will handle up to 7 pin keys. If the key must be authorized by a specific individual, select the name from the drop down list.

Keys are generated (added to hook qty.) by selecting the Generate Key Qty. button. Enterthe quantity of the keys to be generated then select the Generate Key box.

To determine who has been issued a particular key, select View Issued Keyholder button.

Locations

Locations require a building name and a door number. Keys can be assigned by highlighting the key symbol and selecting the left arrow box or by left mouse clicking, dragging and dropping the key symbol into the appropriate box.

To determine what keys fit a particular location, select the Accessed By tab at the bottom of the screen.

Select View Hardware tab to enter hardware data for each location. The lock screen contains information on primary and secondary cylinder and the locking device on the door. Additional tabs provide information on the door/frame, hinge/closer/device, door plates and additional hardware.

If you wish to be reminded when service is required on a particular door, you can enter information into the Service Maintenance Schedule which can be found by opening a location record. Tracking service items can be done by clicking the View menu and selecting Maintenance Service Schedule.

Service Reminder & Overdue Key Reminders

If enabled under Utilities/Preferences the first thing you will see is the Service Reminder and Overdue Key Reminder screens pop-up. The Service Reminder tells you that service has been previously scheduled for that day and the overdue key reminder tells you that a contractor or temporary employee has yet to turn in a key.

Importing Files

Select Utilities, and then select Import/Export/Import.

Key systems, location and keyholder information can be imported into Key Wizard if it is created in an Excel spreadsheet format and then saved as a comma separated values (CSV) file.

Templates can be found at keywizard.net. Note, this feature is not available with the demo CD.

Pinning Calculators

Select Utilities, and then select Pinning Calculators.

Accessing the pinning calculator tool - Currently Key Wizard is able to calculate cylinder pinning for universal 5/6 pin cylinders, Medeco high security cylinders, 5/6 pin, KeyMark conventional & IC 5/6/7 pin cylinders using both A2 or A4 specification, and Sargent 5/6 pin standard, Corbin Russwin Fixed Core 5/6/7 pin, Corbin Russwin System 70 6/7 pin, Corbin Pre-Sys 70 5/6 pin, Russwin Pre-Sys 70 5/6 pin, Pyramid Fixed and IC 7pin.

Download to HPC CodeMax or ITL Code Machine

Select Utilities (top tool bar of Key Wizard), then select HPC or ITL Key Machine Cut Keys with HPC or ITL Key Machine and complete the required fields to download key bittings directly to an HPC CodeMax or ITL 9700 code cutting machine.

Print Door Hinge Labels

Select Utilities (top tool bar of Key Wizard), then select, Print Door Hinge Labels.To make it easier to perform door hardware surveys and keep track of locations, Key Wizard prints door hinge labels on Avery 8867 clear labels. The labels contain information on building, door ID, room number and area/dept.

Report Examples

Example #1: Employee is leaving an organization and the human resource department wants to ensure that all keys have been returned. To print a report of all keys issued to a person go to Keyholders, Print Keyholder Reports, and Single Keyholder Access Report.

Example #2: A new manager wants a list of all of the keys that have been assigned to individuals working in his department. To print a report of all keys issued to particular departments go to Keyholders, Print Keyholder Reports, and Keyholders by Department Report.

Example #3: A key has been found and the security department wants to find out to whom it belongs. To search for a particular key, go to Keys, View Issued Keyholders.

Example #4: Items have been missing from a storage room and management wants to investigate. To find out who has access to a particular location, go to Locations, Accessed By.
