Job Title: Administrative Assistant to the Mission in the Economy Officer

Lay Employee in the Location: Birmingham District of the Methodist Church

Responsible to: TheAdministrative Assistant will be employed by the Birmingham District and will be under the supervision of the Mission in the Economy Officer.

Responsible for: The Administrative Assistant will not be responsible for the work of others but will often work alongside Volunteer Chaplains within the NEC Group location and also interface with staff teams within the NEC Group.

Purpose and Objectives: To creatively support the work of the Mission in the Economy Officer. The current post holder has a varied role both within the NEC Group and the wider Birmingham District of the Methodist Church. Therefore the Assistant will provide administrative support to Chaplaincy at the NEC Group and also support the Mission in the Economy Officer’s engagement inSocial Justice Programmes for the wider Birmingham District. This will include Refugee Sanctuary, Living Wage and others.

Main Responsibilities

  • Working in partnership with the Mission in the Economy Officer and others at theInterfaith Chaplaincy Centre, set up, develop and utilise processes to support the work of the Interfaith Chaplain and the centre. This is a fast paced and changing environment.
  • Assist the Mission in the Economy Officer to record his work and measure achievement against his goals.
  • Maintain records of other Chaplaincy work in the District.
  • To assist in enabling the delivery ofholistic pastoral care and the raising of awareness of Chaplaincy in diverse contexts.
  • Support the overall vision of an open and inclusive spiritual Interfaith Chaplaincy centre.
  • Work with people of other faiths and none
  • Contribute, as part of a team, to making the Interfaithchaplaincy office open and accessible for the greatest period possible within the week.
  • Assisting with communications work, including using social media and telephoning Churches, Ministersand teammembers.
  • Organising paperwork and communications for meetings, printing, taking minutes where appropriate.
  • Maintaining stocks of stationery and overseeing equipment and utilities for the office.
  • Assisting with keeping web pages up to date, proofreading and updating content and blog posts.
  • Assisting the Mission in the Economy Officer to maintain links with appropriate similar umbrella groups around chaplaincy groups, the Social Justice networks and the Methodist Church in Britain.
  • Undertaking a range of other administrative tasks including dealing with post, staffing the telephone, record keeping, maintaining volunteer files, and correspondence as required both internally within the NEC Group and the wider Methodist District and Connexion.
  • Answering queries from visitors to the Interfaith Chaplaincy Centre
  • Undertaking any other tasks as required, commensurate with the post.

Terms and conditions

  • Terms of appointment: Permanent although continuation of the post will be dependent on continued funding.
  • The salary will be £ 9.00per hour.
  • The place of employment will be The Interfaith Chaplaincy Centre at the National Exhibition Centre, Birmingham.
  • Normal working pattern: 12 hours per week Monday-Thursday. Flexibility of day duration by negotiation.
  • At least two days free of responsibilities each week.
  • Opportunities will be given for relevant training. Induction/training opportunitieswill sit alongside appropriate opportunities within the NEC Group and the Birmingham District with other lay staff.
  • All reasonable expenses will be reimbursed and a small allowance given for on-going trainingwhen it forms part of an agreed personal development plan.
  • A car parking space will be available at the NEC in ‘Staff Parking’ should it assist the Administrative Assistant in their journey to and fromwork.(Note you will not be expected to use a car for this job).
  • 28 days statutory annual leave entitlement per year adjusted pro-rata as this is a part-time post.
  • The appointment will be subject to a satisfactory Enhanced Disclosure & Debarring Service (DBS) disclosure.
  • The appointment will be subject to satisfactory references.
  • The appointment will be subject to the satisfactory completion of up to three-month probationary period.

Management

  • TheAdministrative Assistant will be line managed by the Mission in the Economy Officerwhose responsibilities will be to:
  • Become familiar with the work of the Administrative Assistant.
  • Determine priorities for the work.
  • Prepare a personal development plan with the Administrative Assistant.
  • Monitor and evaluate progress with the Administrative Assistant on a regular basis (meetings will take place monthly during the probationary period and quarterly thereafter).
  • Act as a “sounding board” to the Administrative Assistant.
  • Ensure that the Administrative Assistant receives suitable pastoral support, through the formation of a separate support group.
