A meeting of the Board of Directors of the Pennsylvania Freestyle Ski Association (PFSA) was held at Angie’s Café in Mt. Pleasant, Pennsylvania on Sunday, November 18, 2012 beginning at 8:30AM

  • Continue to look for sponsorships

OLD BUSINESS:

  • Kick-Off party was held on 11/10/12

NEW BUSINESS:

  • Membership for athletes in financial crisis
  • Needs to be a case by case evaluation, but follow established guidelines
  • Discussed if this is a recurring problem or an emergency
  • Use judgment this year, but not to happen next year
  • Need to re-word registration fees to eliminate “late fees”, instead apply a discount for any “early bird” registrations
  • Agreed to accept 2 payment options. Both options allow participation in Christmas camp if a daily release form is signed.
  • Payment by Credit Card
  • Payment in full by Jan. 4, 2013
  • Alan is to communicate options
  • There will be no withholding of paychecks for registration fees
  • Late Fees- the Board unanimously agreed to forego the $50 and $100 late fees for registration for this season. This needs to be reflected on the website.
  • Pro-rating / late membership
  • Cost of registration will be $595 through the end of January
  • The Board unanimously agreed that late registrations will be accepted after February 15th at a cost of $400
  • The Board determined that the Club’s season will end on March 10, 2013
  • Athletes dropping-out
  • Full refunds will given to athletes for injury
  • If an athlete withdrawals prior to Christmas Camp (December 26-31), they are eligible for a full refund.
  • The website needs to be corrected to show the accurate days and times of Christmas camp.
  • The Board unanimously agreed to hire all coaches. Lou will need to supply this personnel information to Eric so that he can submit it to Workman’s Comp
  • USASA discussion (Snowboarding and Slopestyle)
  • Parents will have to pay membership into USASA, and are encouraged to be involved in events.
  • We will not be coaching during USASA competitions
  • There is an Open Event scheduled at 7 Springs on Feb 2-4, 2013, called the Revolution tour. Need to find out more about this.
  • Purchase Orders
  • Will need to set up a spending limit.
  • Would rather have a purchase order then send reimbursement checks.
  • Next year, set up a coaches’ budget.

FINANCIAL MATTERS / TREASURER’S REPORT:

  • As of November 16th, 42 athletes have paid.
  • Need to get a package of information together to send to potential sponsors
  • Letter
  • Brochure (?)
  • Need a picture of gates, banners, etc that can be used as advertisements.
  • Invoice was received for stickers and patches
  • Thanks to Julie for donating bags and water bottles to athletes
  • In February, need to start on 2013-2014 athlete uniforms-- perhaps a parent committee

UNFINISHED BUSINESS:

  • Develop long term goals
  • Develop an Employee Handbook
  • Need to create Coaches Files and Employee Performance Reviews
  • Need to write Standards for Coaches.
  • Continue to look for sponsorships
