Electronic Consent Form W-2

Online STARS Employee Self Service

Arlington Public Schools is required by the IRS to furnish all employees with a W-2 for each calendar year by January 31 to be used in completing the employees' annual tax returns. The W-2 details the employee's taxable wages and tax withholding amounts for the year.

In the past, we have provided both a paper W-2 copy through the mail and, more recently, an electronic W-2 was also available through Employee Self Service. Since the 2010 tax year, employees are able to login to STARS Employee Self Service and give their consent to receive electronic W-2’s only, and no longer receive a paper copy in the mail.

Benefits of Receiving W-2 Electronically

There are multiple benefits to receiving an electronic W-2:

• Access from anywhere at any convenient time, even if not at your work site computer.

• Access is available at the same easy-to-use, secure Web site where an employee may access his/her wage information.

• Access to the W-2 will be made available as soon as the reconciliations are complete rather than waiting for them to be mailed.

• Eliminates the chance that the W-2 will be lost, stolen, delayed, or misplaced during delivery or after receipt by the employee.

• Employees may print multiple copies at their convenience which may be submitted with your taxes.

Federal regulations require that employees give their consent to receive the W-2 in an electronic format.

Once consent is given, it carries forward each year and does not need to be repeated.

To receive your W-2 electronically, do the following:

1) Log into STARS (Home login: http://mystars.apsva.us ; Work login: http://stars.aps/ )

2) Click on APS Employee Self Service

3) Click on W-2 Online Only Consent Form

4) Click on the UPDATE button above the chart

5) On the next page, choose “No” from the drop down chart

6) Click “Apply” on the right side of the screen.

7) Click the “Next” button in the upper right side of the screen

8) Review the summary of your change in the chart and then click “Submit” at the top right of the screen.

9) You have completed the consent process.

IRS requires that W-2 forms remain online for at least five years.
