Chair Opening

Kay kicked off the meeting at 6:20pm and welcomed everyone, commenting that she appreciates everyone’s support on the Council. She also commented that when we send anything to her, we include in the Subject “Action Needed” or “Decision Needed” to bring it to her attention. She receives many emails every day and this will help her to address items that need her direct attention.

Roll Call

Rusty graciously covered for Morty, who was away on travel, and conducted a roll call of members in attendance.

Treasurer’s Report

Roger provided the Council with an update on the 2017/2018 AIAA-RM budget, commenting that it was essentially the same as what he reported two meetings earlier. Note: The budget info is not included in meeting minutes. He also asked that we minimize email voting on budget issues as it makes it difficult to track actions. Roger will send the budget to John Grace who will post it in the Council (restricted) section of the website. Brian asked about award funds related to our recent section awards and Roger thought we should receive them in September.

News:

Added two new members to the public policy committee – Jason Hopkins and Chris Pumford. Jason previously worked for Masten Space Systems in FL, and on the Hill in DC. Now works at Ball Aerospace. Chris is a recent Mines graduate who interned at the UN and now works for ULA.

Opportunities:

  1. Define public policy committee direction, focus, gather new ideas and create plans for advancing key issues within the RMS.
  2. Leverage Colorado interest groups (e.g., CSBR, CSC, CSE, Space Foundation, Metro Chamber, etc.) to assist in the advocacy of RMS member’s interests/concerns and increase collaboration with the other organizations.
  3. Increase connection and collaboration with AIAA National PPC.

Webmaster Report

John briefed the Council the following Webmaster report:

REMINDER: If you add an Announcement, please include the expiration date.

REMINDER: Calendar entries expire on midnight of the end of the event—so they do not need an expiration date

HIGHER LOGIC: Sandy Magnus held a kick-off meeting on the proposed content of the Higher Logic content management system (SharePoint replacement) on May 18. I submitted comments and suggestions on her proposed concept to Emily Springer on May 27. Expect the entire process of migrating to a new, more robust system to last well into 2018.

Email Lists

Updated the AIAA-RM email list () on Aug 1, 2017. AIAA-RM has 1283 email addresses (up from 1277 in July).

Council has 44 email addresses.

Question: Should Space Foundation be able to send to AIAA-RM or YP directly? Kay discussed the connection to the Space Foundation and recommended that we continue to look for opportunities to partner with them and other non-profit groups. We decided to give the Space Foundation access to the Council distribution and we would decide to send it forward to AIAA-RM, YP, or elsewhere.

Kay challenged all on the Council to send Chris at least one program idea for this current year.

Education Report

•  Girls STEAM event at Wings Over the Rockies: John Marcantonio and Brett A. Shaffer are hosting a RMS table. Girls participating in the event as well as the general public have the opportunity to talk with AIAA members about the organization and their careers. Recruiting additional volunteers for the day. Current volunteers include Rick Zelenka, Matthew Cannella, Sean Zeeke and his geologist wife, and Jamie Umscheid.

•  Erin Smith, new AIAA Educator Associate member and teacher at East High School, is interested in utilizing any education resources that might be available through AIAA for her class at East High School. The curriculum is through “Project Lead the Way” and she would love to enrich the existing curriculum with field trips, guest speakers, local projects, industry partnerships, etc. Telecon planned.

•  BEST Robotics:

o  Recruiting RMS members to be liaison between each hub. So far have Lenny Demchak for Front Range BEST (http://www.frbest.org/) and of course Wes Kenison for Rocky Mountain BEST (http://www.rockymountainbest.org/). Still desire liaisons for Pikes Peak and SoCo (Trinadad) hubs. Liaisons would keep in touch with each hub to recruit help when needed.

o  Propose RMS sponsorship of $500 for the Regional Championship on 16 & 17 Dec at MSU Auraria Event Center. UPDATE – since this would fall within Sue’s budget, she will use her funds to support this.

Honors and Awards

We discussed the section awards. Brian suggested how we could add a little more flair to the section award reports and he will discuss with people in his company’s marketing department. Roger recommended that we think about the section award inputs throughout the year to make the write-up at the end of the year easier and more efficient.

Motivation of sponsors would be appreciated! We are currently nowhere near our goal of $11,500

Facilities:

Tivoli Turnhalle, Baeressen Ballrooms, Tivoli Atrium, Brewery Garage, CAVEA, STK Lab, and Quad (zone 1) all reserved. After a long negotiation process, I’ve gotten AHEC to guarantee a total cost for facilities of $1800 with AVS dept. hosting or 830 if we can have the AIAA @ MSU Denver Student org active again within 3 wks prior to event (All officers graduated last spring, AVS Dept. is currently recruiting to fill positions). MSU Denver Marketing and Communications has offered to cover all facilities costs for the event, up to $2500.

Catering:

Catering arrangements are now being handled by APRM class which should be able to bring down costs substantially. I have it on good authority that there WILL be desserts in the shape of planets, rockets, planes, etc.. One of the potential caterers is really interested in doing a drone lunch delivery demo flight.

Program:

·  Spoke further with AGI. Possibly to host Level 1&2 STK certification testing and 3D demo of STK 11 during event. Should have final info next week

o  Test prep available online prior to event date

o  AGI considering bringing their own laptops and using a room other than MSU Denver STK lab to accommodate more than 16 people at a time.

Kay recommend Susan Helms as a keynote speaker. Wes will connect Roger and the student overseeing financial planning.

Adrian submitted the following newsletter report:

The next newsletter is planned to be sent out early October. Please submit articles by Sept. 15. What should be added to calendar? Planned for October newsletter:

There was discussion about the frequency of the newsletter. We agreed to stay with 6 per year while providing appropriate updates and keeping the page count at a manageable level.

Membership

Official July 31st membership is at 1325 Pros, Students, Educators. DataMaker, which always shows high, states we are at ~1370.

TRAJECTORIES 2017 -- We have 130+ registered for the Sep 8th event. Overall budget is good, as long as Roger can connect with John Eiler to provide an address for sending the $500 CAT III funds. (Roger commented that he will connect with John.)

We need a couple of AIAA Council members to volunteer at the TRAJECTORIES AIAA table. (Tracy discussed this during the PPC update.)

New Business

Brian updated the Council on the sub-orbital launch that we supported. The launch will be delayed until later this year and he will continue to provide updates.

Kay will review her calendar and send out available dates for meetings through the end of this year.

Next Council Meeting

The next meeting will be at Fate Brewery in Boulder on a date when Kay is available.
