EVENTHOST CHECKLIST
NOW:
Make your guest list. As an Event Host, you will need to recruit at least 5 guests – but invite as many as you want. There are no tables to limit you! Consider inviting friends, family, business associates, and members of organizations to which you belong who might be interested in supporting WithinReach.
Invite your guests. Feel free to use the invitation language included in this packet. Printed invitations will be sent out at the end of March to past 2016 and 2017EWR guests. Please contact Julie Greenberg at 206-204-3518 or f you would like printed invitations to send.
Ask guests to register. Please ask any confirmed guests to register for the event on our website at
April 9-13th:
Invite (more) people.Keep those invites coming! Are there other groups you meet and network with? Clubs, Teams, Business and Civic Organizations?
Follow up on initial invites. Just because someone on your list doesn’t RSVP doesn’t mean they are not interested in attending Experience WithinReach!
April 16-20:
Confirm your guests. Check in with any guests you haven’t heard from and make sure all of your confirmed guests have registered online. Please ask anyone who cannot attend to make a contribution to WithinReach!
April 30-May 4:
Send final reminders. Send all of your guests a reminder with the date, time, location, parking instructions and reminder about the desired minimum gift level. Don’t hesitate to substitute guests for those who cancel at the last minute; we encourage you to fill vacancies!
AT THE EVENT:
Personally thank your guests for attending. Verbal recognition, thank-you cards, or small gifts are great ways to show your gratitude for their support of WithinReach.
Check in with your guests that they are enjoying themselvesand encourage them to engage with the program activities. This year, we have taken extra steps to give attendees an even more honest portrayal of client experiences. We’ve paired interactive exercises with passionate staff members who will be onsite and ready to answer questions or talk about why they love helping families in Washington.
There will be multiple ways for your guests to give. Please make sure your guests understand the options, and ask a WithinReach staff member if you need help.
POST- EVENT:
Pat yourself on the back! We will send thank-you notes to all guests who donate/pledge and we will email you the event results to pass along to your guests to let them know the difference they made to Washington families by attending. We will also send a survey so you can let us know how we can make the Event Host process better in the future, and how you liked different aspects of the event.
