INFORMATION FOR GRADUANDS

This information is provided to ensure that you are aware of the graduation process and requirements.

1.  In order to graduate ‘In PERSON’ you will need to complete the:

a.  ‘Online Registration Form’ available at: www.wānanga.ac.nz

2.  For those who wish to graduate ‘In ABSENTIA’ please contact/email your School Administration Manager.

3.  Ensure that all outstanding debts have been paid in full, no later than 28 February 2014, these include:

a.  All outstanding fees: must be PAID IN FULL prior to the above date.

b.  All overdue library books: must be RETURNED prior to the above date.

c.  Academic Regalia Hireage: must be PAID upon completion of online registration.

4.  Read the attached ‘Information for Graduands’ booklet to familiarise yourself with the proceedings and instructions

1.  REGISTRATION: (SLEV - Single Level Education Village), McAlister Street, Whakatāne)

a.  It is very important that you REGISTER if you are attending ‘IN PERSON’ as this list is presented on stage and your details are announced before you receive your certificate/tohu. This register is also used to ensure the person handing out the certificates will be able to match your name with the correct qualification.

b.  Please print out the registration ticket/Information sheet (from your online registration) and bring this to the Registration desk.

(Refer to Point 2.2 below for opening times and ‘Map H - SLEV’ for location of the Registration & Gowning Rooms).

c.  All Graduands attending ‘In PERSON’ must report to the registration desk (prior to Friday April 11, 10 am).

d.  At the registration desk we will check your name, iwi affiliations and the name of the programme you are graduating from.

·  We will also check if you have ordered and paid for your regalia (gown) and have no outstanding fees.

e.  Upon collecting your regalia, you will be given your allocated tickets for seating within the ‘War Memorial Hall Stadium’. It is your responsibility to allocate your tickets to your respective supporters.

·  Note: There will be no entrance into the stadium area (Entrance 1 on the War Memorial Hall Complex map) without a valid ticket.

2.  ACADEMIC REGALIA/GOWNING:

The Graduation Ceremony is a formal celebration of your achievement.

a.  If you choose to graduate ‘In PERSON’, it is compulsory for all graduands to wear academic dress, otherwise known as academic regalia (i.e. gown and additional attire appropriate to your qualification). Graduation regalia will be sourced by the Wānanga and charged to you accordingly.

b.  If you have achieved a qualification higher than the one you are receiving from Te Whare Wānanga o Awanuiārangi and you wish to graduate in this regalia, you are responsible for obtaining your own academic dress. Please organize this early to ensure availability.

2.1 Cost of Hireage of Academic Regalia

c.  For those receiving a:

Ø  Certificate/Diploma $25 (GST inclusive)

Ø  Undergraduate/Graduate degree $50 (GST inclusive)

d.  This must be paid upon registration via Internet Banking (bank account for payment is provided within the on-line registration).

Please ensure you provide your student ID and First/Last Name as references when making payment.

2.2 Collection & Return of Academic Regalia

IMPORTANT POINTS TO REMEMBER:

·  If you are attending the pōwhiri it is important that you have registered and changed into your regalia before the pōwhiri.

·  All regalia must be returned to the Registration & Gown Room and/or photos (refer times above).

·  Some dress suggestions:

-  The day involves a considerable amount of walking and standing (the Hīkoi includes walking 400 metres). Please wear suitable footwear (high heels may not be practical) and be aware that jackets under Gowns may cause you to ‘heat’ up.

-  The temperature at the Whakatāne War Memorial Hall is reasonably warm during April.

-  Men may find it helpful to wear a shirt and tie, as placing the neckband of the hood under the tie helps to hold the hood in place.

-  Choose a hairstyle that allows you to wear your trencher comfortably.

3.  PŌWHIRI (Te Mānuka Tūtahi Marae, 105 Muriwai Drive Whakatāne)

·  Please make your own way to the venue, and assemble in your Academic Regalia outside the Waharoa/front entrance of the marae by 7.30am.

·  You can find detailed maps and information sheets on our main website www.wananga.ac.nz

·  Information regarding Marae Protocol and Pōwhiri will be delivered from 7.30am (by one of our Cultural Advisors).

·  It is suggested that you and your supporters have breakfast (you may also wish to have snacks for your support team (due to the long day)). Mobile food stalls will be at the Whakatāne War Memorial Hall Complex selling food from 11am to the end of the ceremony.

·  Light Food and Entertainment will be offered to Manuhiri at the Main Campus (after the ceremony).

·  Traffic direction, parking and wharepaku to/at the marae is shown on the maps.

·  Parking is available on Toroa Street, Whakatāne (short walk of 1 minute to Te Mānuka Tūtahi Marae). Wardens/Marshalls will direct you to parking, and provide instructions to marae.

·  Road closures may occur to ensure the safety of pedestrians - these will be marked/signposted.

·  Morning tea (after Pōwhiri) will be set aside as follows:

-  Te Hono ki te Ao Kaumatua/Council/Dignitaries;

-  Te Aroha o Ngāti Awa Graduands and remainder of Manuhiri.

·  Please make your way to the Army Hall Carpark by 10.30am – in preparation for the Hikoi.

·  Please advise your whanau/supporters that the buses at the end of the Hīkoi are for Graduands only. Security will be managing entry onto the buses.

**In the event of severe weather, the alternative venue for the pōwhiri shall be the Whakatāne War Memorial Hall, Short Street, Whakatāne.**

4.  HĪKOI – GOWN AND TOWN (The Strand, Whakatāne) (Weather permitting)

Those Graduands who do not wish to participate in the hīkoi, please make your way to the Whakatāne War Memorial Hall at Short Street, Whakatāne, for the Graduation ceremony. The doors will open at 11.15am at the War Memorial Hall complex (however, Graduands will be asked to wait until all Graduands arrive at the War Memorial Hall Complex).

·  You can find detailed maps of the Hikoi and information sheets on our main website www.wananga.ac.nz

·  Please make your way to the Army Hall, Cnr of Quay Street & the Strand East, Whakatāne by 10.30am. You will be placed into procession order by Marshalls.

·  There are no toilets/wharepaku at the Army Hall. There are public toilets at the Whakatāne Information Centre (at the start of the official Hīkoi).

·  The procession will commence from Quay Street and proceed west along The Strand through to the Noel Leeming roundabout and will conclude at Buddle Street.

·  The hīkoi will commence at 11am and is a walk of approximately 400 metres through the township along “The Strand”.

·  For health and Safety reasons only Graduands & those approved to be in the Hīkoi procession may walk on the road (along with security and marshalls). No Children are allowed to walk on the road in the procession.

·  As soon as you reach the buses (at the end of the Hīkoi) a marshall will be waiting to direct you onto your designated bus. Please try to keep together with your programme (it will help those waiting at the War Memorial Hall Complex).

·  Fruit and Water will be provided to you at the end of the Hīkoi, once you enter the bus to be transported to the War Memorial Hall Complex.

·  Please note that the buses are only available for Graduands. Please advise your whanau/supporters that they will need to make their own way to the Ceremony at the War Memorial Hall Complex.

5.  CEREMONY

The Order of Proceedings within the Graduation Programme shows the format for the day.

·  On arrival at the Whakatāne War Memorial Hall Complex, please make your way to the marshalling area (indicated on the map).

·  Due to timing, we ask that you make your way immediately to this area, so that it does not hold up the rest of your Graduands/programme.

·  Look for the sign that names the qualification you are graduating from.

·  Report to the marshall in charge of the programme you are graduating from.

·  Your marshall will check you registered and organise you into alphabetical order in preparation for seating within the ‘Stadium’. Your marshalls’ will usher you to your seat.

5.1 Whakatāne War Memorial Hall Complex (CEREMONY)

The doors will open at 11.15am.

There are three areas set aside for this Ceremony:

i.  War Memorial Hall Stadium (Entrance 1)

ii.  Kaumatua Area (Entrance 2)

iii.  All others (Entrance 3)

Graduands who arrive at the War Memorial Hall Complex will be asked to wait for the remainder of Graduands to arrive from the Hīkoi, before they are given access into the Stadium area.

Ø  Entrance 1 (War Memorial Hall Stadium):

·  Seating inside this area is by ticket only. When you pick up your academic regalia, it is your responsibility to give these tickets to your supporters. Due to Health and Safety regulations, the maximum number allowed to accompany you within the Stadium is three “3” (your seat is not included in this number but is in the reserved Graduand area). Any supporters exceeding this number may sit within the other areas noted below.

·  Tickets for entry into the Stadium should have been provided by you to your supporter(s) (no ticket/no entry).

·  No food is allowed within the Stadium area.

·  No prams or car seats are allowed within the Stadium area.

·  Awanuiārangi has set aside a performance stage at the Main Campus (after the ceremony) for all those who wish to perform waiata/haka.

·  As this is a long day (and many Kaumatua attend), we ask for consideration from supporters of Graduands in respect of haka/waiata performances when tohu are being presented on stage. Please be courteous and remain seated until all presentations have been made. Te Whare Wānanga o Awanuiārangi has set aside a performance stage at the Main Campus, 13 Domain Road, Whakatāne once the ceremony ends. Along with local entertainers, this venue has been set aside for Graduands and their whanau to perform any waiata/haka (should they choose).

·  Movement in and out of the Stadium during speeches will be managed as a matter of respect for the Speakers and Graduands. Please advise your supporters/whanau that if they exit the stadium area (ticketed area) then they will be asked to wait to re-enter back into the Stadium when there is a break in speeches. Note: There are wharepaku available within the Stadium area and food stalls will be selling kai outside Entrance 3.

·  We respectfully wish to advise you that children/tamariki may have problems sitting for long periods within the Stadium. Should you bring children/tamariki, we encourage them to be supported/manaaki within the Little Theatre (based within the War Memorial Hall Complex). Children/Tamariki must be supervised at all times by your approved carer

Ø  Entrance 2 (Kaumatua Lounge):

·  Only Kaumatua and their personal caregiver will be allowed access to this lounge. Kaumatua DO NOT need a ticket to be in this area.

·  There will be a cup of tea provided for Kaumatua in this lounge.

·  Kaumatua should be advised that they are only allowed into the Stadium if they have a ticket (and that entry is through Entrance 1).

Ø  Entrance 3 (Little Theatre):

·  Is for all other persons (who are not Kaumatua or DO NOT have a ticket into the Stadium section).

·  No food is allowed within the Little Theatre area.

·  No prams or car seats are allowed within the Little Theatre area.

All Areas at the War Memorial Hall Complex have Video Live feed (so that people can see what is happening within the Stadium area).

5.2 RECEIVING YOUR AWARD

This is the formal stage of the ceremony of conferring degrees and awarding diplomas and certificates.

Please ensure you are familiar with the sequence of how to receive your award.

·  Each seated row of graduands should take its cue to rise from the marshall who will lead each row out from the right-hand side, to stand at the side of the stage.

·  The official will announce the names of the graduands for a particular qualification.

5.2.1. Receiving a Diploma/Certificate

a. You will then be guided onto the stage (followed by those who were also called out).

b. You may touch the Whatu Kura (the Stone of Knowledge) as you walk up onto the stage.

c. The Chair of Council or his nominee will greet you/hongi and shake your right hand.

d. You will then proceed off stage (and receive your tohu – at the bottom of the stage)

e. You will then make your way back (around the back of the stage) to be re-seated.

f. The marshall will direct you back to the graduand seating area.

5.2.2 Receiving a Degree

g. You will then be guided onto the stage (followed by those who were also called out).
