Managing Eligibility and Creating Plans
The dream last year was to roll out EXCEED as the management system for Section 504. Well, that didn’t turn out so well. A few 504 Coordinators worked with me to field test it in the Fall and worked with me to work out the bugs well into the Spring… with no luck. On top of that, the EXCEED folks informed me in June they were “dropping” that module. So… no 504 planning in EXCEED.
So what DO we do?
We do what we know… even though it is a bit old fashioned.
WORD forms for eligibility (because some of the rules have changed) and EasyIEP to track who is eligible and to develop the 504 plan- to ensure accurate record keeping.

- 504 Plans will be developed in EasyIEP

Checklists! Here’s how they work.
Checklists are an evidenced based practice that utilizes clearly defined steps for disciplines that involve very complex regulations, procedures or knowledge. I’d say Section 504 fits the bill perfectly! You start at the top of a checklist and work your way down through all the steps (checking them off as you go). If you come fo a step you cannot complete – you reach out for support.

Who’s in and who’s out?
Data nowadays is so interconnected! It is critical that Albemarle county Schools get an accurate count of students who are eligible for and have a Section 504 Plan.
To begin with, we certainly want to make every effort to produce accurate data.
- Accurate data about students allows us to ensure student needs are met. If we put good data into our system, we are likely to minimize management errors, thereby respecting the rights of students with disabilities.
- Fewer errors means students are getting what they need.
- Good data minimizes the likelihood that the Division will frustrate parents and teachers by ensuring the process runs smoothly building upon the relationship of trust with our community.
- Four times a year, the Virginia Department of Education mandates we report on statistics related to student enrollment and eligibility for Section 504 is one of those pieces of data.
- Accurate data tells an accurate data story. We ARE doing an excellent job supporting students with disabilities and allowing that story to be told accurately builds everyone up.
