Post:Shop Assistant/Branch Administrator

Hours:26 to be worked across 4 days, Monday to Saturday

Responsible to:Shop Manager

b)Overall Purpose of Job

The Shop Assistantwill have responsibility to support the Shop Manager in all aspects of the running of the Shop and supporting the work of the branch office and will promote the work of the RSPCA.

c)Principal Responsibilities

  1. To serve customers at the till and help with their queries
  1. To hang out clothes and display other items for sale on the shop floor e.g books, bric a brac
  1. To keep the shop floor and the rear of the shop tidy and looking neat at all times. To dust, sweep and vacuum the shop as required
  1. To ensure the shop window is looking attractive and is replenished throughout the day
  1. To label up clothes and other items with a price, as agreed with the Shop Manager and RSPCA pricing policy. To look up the price of items in the computer through websites such as e-bay and amazon. Reduce in price items which have not sold in accordance with shop policy
  1. To ensure items put out for sale meet trading standards requirements and RSPCA policy
  1. To adhere to the established sorting and pricing policies and ensure a strict stock rotation on the sales floor
  1. To help to sort donation bags e.g. hanging up clothes, putting non-sellable items in the rag or the waste bin
  1. To tidy up hangers, size cubes and other shop items in order to promote the efficient running of the shop and creating an environment that is pleasant and safe for customers, shop staff and volunteers
  1. To steam clothes in readiness to go out on the shop floor. To wash bric a brac, toys and other goods
  1. To mend clothing and other donated goods e.g. sewing on buttons, putting in new batteries to children’s toys
  1. To put out the rags bags on the morning of rag collections
  1. To promote the gift aid scheme to customers
  1. To provide excellent customer service to customers and deal with their queries in the shop
  1. To deal with deliveries, shop phone calls, rag and refuse collections and supplier queries
  1. To provide training to shop volunteers on all aspects of their role including the principles of gift aid and working the till
  1. To operate the till, action refunds and returns, pay-outs, till checks, ‘cash lifts’ and carry out cashing up procedures in accordance with Shop policy
  1. To be a nominated key holder, following opening up and locking up procedures according to the staff rota
  1. To attend staff meetings as required and contribute to the development of the shop
  1. Any other appropriate duties as reasonably requested

Branch Administrator

Working mainly in branch office to support the Branch Manager. Admin duties to include:-

  • Assisting with general shop admin duties
  • Ordering shop supplies from HQ, Viking, Morplan, BMc Azzuri
  • Photocopying shop forms, creating shop notices and signs, preparing and maintaining homing posters
  • Volunteer administration e.g. sending out reference requests, personal files, record keeping
  • Set up and maintain Branch Volunteer spreadsheet
  • Counting of collection box monies and maintaining collection box monitoring spreadsheet
  • Maintaining Branch gift aid spreadsheet
  • Assisting with shop gift aid claims e.g. submitting forms, sending letters to donors
  • Send out Gift Aid Forms to donors where appropriate and update records
  • Ordering general branch leaflets and supplies as required
  • Making up of homing cat & dog packs and submitting of homing forms to HQ
  • General office form filing and photocopying
  • Assisting with setting up of flag day and supermarket collection days
  • Sending thank you letters to donors and other parties
  • Assist the Trustees and Branch Manager with other administrative support as and when required
