Monthly Chapter Report Awards Proposal

Objective

Update current GIS reporting and award system to create a system by which the Grand Chapter can define the parameters of a well-rounded GIS Chapter. The system should take into consideration that each chapter is unique and operates under distinct circumstances (location, size, advisor participation, age of program, demographics of student, resources). The Monthly Chapter Report (MCR) will give chapters a platform for working towards the next level of success for their individual chapters.

Overview

Each chapter is required to report on chapter activities on a monthly basis; the Grand Chapter will define what constitutes a well-rounded chapter based on five categories: Chapter Viability and Administration; Scheduled Chapter Events and Meetings; Community and Public Service Activities; Alumni Relations; and Inter-Chapter Activities. Based on the MCR, chapters may qualify for National Chapter Awards or the Distinguished Chapter Awards.

MONTHLY CHAPTER REPORT (MCR) POINT SYSTEM

  1. Chapter Viability and Administration
  • TEN(10) pointsfor each monthly report submitted by the 10th of the following month in acceptable format. (Four points maximum if later that the 10th)
  • TEN (10) points for reporting officers to Grand Chapter in both the September report and February report. (Five points if reported at least twice in academic year, but during different months than above)
  • FIVE (5) points for each officers’ meeting held during month (up to maximum of four officer meetings per report)
  • TEN (10) points for display of charter in a safe and satisfactory location each year
  • TEN (10) points for submission of chapter by-laws each year to Grand Chapter.

CHAPTER MINIMUM POINTS:160

  1. Scheduled Chapter Events and Meetings
  • Up to TWENTY (20) points for each full chapter meeting or scheduled fraternity event held for each month reported (Official Gamma Iota Sigma banner must be displayed). Chapter meeting or scheduled fraternity event does not include community service/charity events. Points will be determined based on percentage of student membership in attendance.
  • 100-80% = 20
  • 80-60% = 15
  • 60-40% = 10
  • 40-5% = 5

**Membership percentages will be based onthe total chapter membership of the previous academic year that isreflected in the Donor Perfect records as of June. Recognizing there may be fluctuations in membership, special circumstances can be evaluated by awards committee. New chapters will be based on the number of chartering members.

CHAPTER MINIMUM POINTS:240

  1. Community and Public Service Activities
  • TWENTY (20) points will be awarded when the chapter organizes, promotes and provides leadership for an on- or off- campus charitable or philanthropic event.
  • TEN (10) points will be awarded when the chapter formally participates in an on-or off-campus charitable or philanthropic event in which the chapter is not the organizer.

CHAPTER MINIMUM POINTS:120

  1. Alumni Relations
  • ONE (1) point for each chapter alumnus involved in a chapter meeting (as defined above) or community service event during the month up to 10 points per month.

CHAPTER MINIMUM POINTS:16

  1. Inter-Chapter Activities
  • TWENTY-FIVE(25) points for each participant of the Annual Presidents’ Conference, up to two participants.
  • TWENTY (20) points for each participant of the Annual International Conference, up to five participants.
  • FIFTY (50) points for planning and executing an Inter-Chapter Event with at least five other GIS Chapters attending.
  • TEN (10) points for attending and participating in an Inter-Chapter Event hosted by another GIS Chapter (i.e. NAPSLO Symposium, Winter Classic, Philadelphia Excursion)

TOTAL AVAILABLE POINTS:200 + Unlimited Points for Inter-Chapter event attendance, as described in the fourth bullet point

CHAPTER MINIMUM POINTS:125

MONTHLY CHAPTER REPORT (MCR) AWARD CRITERIA

  • In order to be considered for MCR Awards a chapter:
  • Must submit all monthly reports by 10th of each month. Monthly Chapter Reports are due in each of the following ten (10) months: September, October, November, December, January, February, March, April, May and June. Chapters are permitted to submit June, July and August activities in the September report. If the 10th falls on a Saturday or Sunday or Federal US or Canadian holiday, the monthly report is due the following business day.
  • Must have submitted both new and renewal membership and all outstanding invoices must be paid by September 1.
  • Standard Requirements for a Well-Rounded Chapter
  • A Well-Rounded Chapter will exist when the following minimum points are attained:

Submission of ten monthly reports / 100
Reporting elected/appointed officers at least twice per year / 10
Annual submission of updated chapter by-laws / 10
Ten officers’ meetings for the year / 50
Sixteen (16) scheduled chapter events/meetings a year with at least 60% participation / 240
Four (4) organized and executed community service events / 80
Four (4) additional community service events / 40
Fifteen (15) alumni participation / 15
One participant at Presidents’ Conference / 25
Five participants at Annual Conference / 100
Total Minimum Required Points / 670
  • Distinguished Chapter Awards
  • Must receive points from each of the five categories;
  • Must receive the Minimum Required Points, as defined above in Standard Requirements for a Well-Rounded Chapter.
  • Chapter Improvement Award = Any chapter who had at least a 100 point increase in MCR over the prior year;
  • Superior Chapter = >1500 POINTS
  • Excellent Chapter = 1250-1499 POINTS
  • Additional points may be received in any other manner as defined in the MCR.

**BELOW was voted on and approved on January 28, 2012 at the Executive Committee meeting**

  • Bowers Award Criteria
  • Superior Chapter Award recipients may apply for the Bowers Award, which is the highest honor an individual chapter can receive.
  • It will go to the Chapter that best exemplifies the values of GIS.
  • Superior Chapters will be notified at least one month prior to the Annual Conference. For example, 2011-2012 Superior Chapters will be notified in September 2012 and will qualify to make their presentation at the 2012 Annual Conference.
  • Each Superior Chapter wishing to apply for the Bowers Award will be required to make a presentation to a panel of 4 judgesconsisting of:
  • Independent industry
  • Alumni (former Alan C. Williams or Warren L Weeks recipient, preferred)
  • Faculty advisor
  • Past or present President of the Grand Chapter

The panelists cannot be from a chapter qualifying for the award.

  • Chapters will be required to give a 15 minute presentation on why they best exemplify the values of GIS. They will be judged using a presentation scorecard on the following criteria:
  • Ability to demonstrate the values of GIS
  • Delivery and Presentation Skills
  • Teamwork
  • By asking a chapter to present on why they are deserving of the Bowers Award allows for:
  • An additional opportunity for professional development through the creation of the presentation, the delivery of the presentation, etc. Every student, no matter which facet of the industry they will enter will need to “sell” his/her company, product, services, etc at some point. It will be a critical part of their business activities in the future
  • Brings an additional element of competition to the chapters
  • Grand Chapter could use as a marketing tool for chapter development by having the qualifying chapter present in the general assembly on either Friday or Saturday during the Conference. This would help serve as a motivator to other chapters.
