2. Job Purpose
To provide accurate and comprehensive administrative support to the Hospice, including the maintenance of employee records and responding to personnel procedure issues.
To work with the HR Coordinator and the Education & Development Coordinator to provide administrative support and day-to-day guidance to managers, staff and volunteers, to enable effective recruitment, training and on-going support across the Hospice.
3. Duties
To maintain HR systemsand ensure that they are effectively administered at all times by;
- Adhering to the Hospice’s recruitment procedures, monitoring recruitment activity and coordinating all required pre-employment checks (i.e. previous employer references, professional registration and DBS checks).
- Ensuring that personnel files are maintained in an orderly fashion,kept safely and securely and that all signed paperwork is present and correct to allow the Hospice to comply with regulatory requirements.
- Creating HR induction and training & development packs and resources for new starters.
- Monitoringstatutory & mandatory training activity and compliance.
- Processingeducation & training requests in line with availability and budget restrictions.
- Tracking and processing departmental invoices.
- Taking responsibility for specific projects as required.
- Continuously seek to maintain and improve own level of skills and undertake learning and development activity as appropriate.
- Ensuring that practice is in accordance with Hospice policy at all times.
- Undertake other duties as may be required.
4. Person Specification
Qualifications
Essential
- Educated to GCSE level or above (including Maths & English) or relevant experience.
- Professional Qualification / NVQ in relevant subject (or willingness to work towards).

- Experience working in a busy office/ administrative environment.
- Previous HR administration experience.
- Experience of working with volunteers.

- Ability to maintain systems and procedures.
- Excellent IT skills with proficiency in Word, Excel, PowerPoint and Outlook.
- Experience of using a database to input and report data.
- Excellent communication skills with the ability to work effectively with a broad range of people.
- Excellent organisational and administrative skills and the ability to maintain accurate up-to-date records.
- Ability to manage and prioritise workload and meet deadlines.
- Ability to maintain confidentiality
- Experience in interviewing and note-taking.
