How to reserve an Exchange Room/ Resource when setting up a meeting in Outlook:

Outlook 2010 (Windows)

Create a new appt/meeting in YOUR OWN Outlook Calendar as usual. Do not attempt to create a new appt/meeting in the Resource/Room Calendar.

In the New Appt window, select Scheduling Assistant on the Show menu

Click the Add Rooms (or Add Attendees) button and enter PEDS in the Address Book search field

Click to select the Conference room (or Resource) of your choice (i.e. PEDS.Library RR314A)

Once selected, back in the Scheduling Assistant window, you should be able to view Free/Busy information for all your attendees, including the conference room (or other resource).

Once you have sent the Appt Request, you should receive an automatic acceptance email in your inbox if the room (or resource) is available.

As the organizer of the meeting you are free to reschedule or cancel this meeting if necessary.

Outlook 2011 for the Mac

Create a new appt/meeting in YOUR OWN Outlook Calendar as usual. Do not attempt to create a new appt/meeting in the Resource/Room Calendar.

From the new Appt window, click the Invite button

In the new Meeting window, click on the Scheduling Assistant tab, then the Add Room (or Add Attendee) button under the attendees list.

From the Contacts Search box, enter PEDS

Select the Conference room (or Resource) of your choice (i.e. PEDS.Library RR314A) and click on Check Availability button to make sure there is no conflict.

You should see a list of your attendees and Free/Busy information to select possible meeting time for all attendees.

Click Send to request the meeting.

If there was no conflict for the conference room (or resource) , you should receive an automated acceptance email. And the meeting reservation will be added to the Conference Room/Resource calendar just like all other attendees.

As the meeting creator, you will be able to edit, adjust and/or cancel the meeting as necessary.

Outlook Web Access

Login into your mailbox using Outlook Web Access ( select YOUR OWN Calendar view, right-click on the day you wish to create an appt/meeting and select new (or just double-click on the appt day). Do not attempt to create a new appt/meeting in the Resource/Room Calendar.

Enter Event title, set start/stop/duration information. You can add attendees directly on this page or click on the Scheduling Assistant to help schedule the meeting.

The Scheduling Assistant screen should show free/busy times for all selected attendees. You can add your Room / Resource the same way you add all other attendees (the Add Room option may not work properly in OWA). All Pediatric Exchange resources will begin with PEDS.

Click OK to send the meeting invitation. If there is no conflict for the resource, you should receive an automated acceptance response.

As the “creator” of the meeting you should be able to change/edit/cancel the meeting later if necessary.
