Job Title: Student Relations Assistant (Activities and Events)

Salary Band: Band 1

Working Hours: Full Time – 37 hours per week

Overall purpose/accountabilities:

Working with the Student Relations Team in Gateway in London and as part of an external funded project at University of Sunderland, operate a dual role of developing and delivering the Urban Active Programme (UAP) and supporting a suite of student society activities and events.

Reporting lines:

This job reports to the Student Relations Manager but with links to the Urban Active Programme team (based in Sunderland).

Staff reporting to this job:

None.

Main duties:

Coordinate a series of regular and attractive enrichment sessions and events for the students both on and off campus to maximise students’ engagement and participation. This will include recruitment and coordination of participants and volunteers.

Establish and maintain effective relationships with the Urban Active programme team, with the Student Union and their London representative and with local partners, if required, to ensure the effective coordination and delivery of a range of student activities.

Contribute to and facilitate the smooth running of key student-focused events i.e. Freshers’ Fayre, weekly enrichment activities and other events.

Liaise effectively with programme participants to ensure all activities and events are timetabled at the most effective and suitable times to maximise participation. Monitoring and verifying attendance using an online monitoring tool and website.

Monitoring and reporting on student groups and compiling reports on activity engagement and user feedback. Produce regular and ad-hoc reports to management regarding student events and activities.

Provide guidance and administrative support to student-led groups, events and other enrichment activities.

Coordinate Student Ambassadors ensuring timely response to new requests from managers, an accurate allocation to assignments and effective liaison with HR to maintain compliance. Be a first point of contact for Student Ambassadors.

Regularly review and evaluate termly activities and events in order to introduce new and innovative ways of maximising and improving service delivery.

Maintain information feed on appropriate websites and social networks to effectively promote the student events and activities offer to the entire student body.

Assist with the general running of the Gateway.

Identify and participate in continuous professional development as appropriate.

Commitment to the effective delivery of an excellent student experience to all learners and incorporating our corporate values throughout all streams of service delivery.

Any other duties commensurate with the nature of the job, as determined by an appropriate manager.

Special factors:

A flexible approach to work will be required as although the role is primarily day time based it may include occasional unsociable hours. Annual leave may be restricted at certain times of the year to accommodate business needs.

Person Specification

Essential / Qualifications
Educated to A level standard or equivalent.
Experience
Proven experience of working in a customer focussed student support/service environment delivering excellent customer service.
Proven experience of working in a role where team work was key to effective service delivery.
Previous experience of organising and/or coordinating events and activities, ideally within student environment.
Skills & Attributes
Proven knowledge and understanding of key considerations in operating safe and effective group activities.
Exceptional communication skills and a proven ability to work under pressure within a busy service environment delivering an excellent customer service.
Ability to work on your own initiative to provide excellent customer experience and deal effectively with conflict
Demonstrable IT skills including proven competence in a variety of Microsoft Office packages.
Desirable / Qualifications
A customer service related qualification.
Experience
Proven experience of coordinating volunteers to effectively deliver a broad range of programmes.
Previous experience of working with a diverse student body whose first language may not be English.
Skills and Attributes
Good knowledge of designing promotional materials and of effective use of social media to promote events.
Some knowledge of the use of Photoshop for creating promotional materials.
