  1. MINUTES
The Minutes of the last meeting held on the 12th January 2015 were agreed and signed.
  1. MATTERS ARISING
a)DBS Forms – 2 DBS forms are still outstanding and new committee member (AA) is also requested to complete a form. It was stated that AA is also to provide personal information and forms of identification to Caroline Coles.
b)Nearly New Sale – Only 5 tables have been sold. It was noted that at least 15 tables need to be sold to make it worthwhile. Caroline Coles had this event advertised in the Hagbourne Parish magazine and the school letter. She also had confirmation that this was to be included within the ‘round and about’, but this was not the case. Committee agreed that event will be cancelled in two weeks if no further support for the event is offered.
c)Tea and coffee morning 3rd February 2015 – all agreed this was not as successful as hoped. Another one tbc.
d)Advert for Committee Roles in Hagbourne Parish Magazine -
e)Parents interested in committee roles– Abi Amos has agreed to take over the role of secretary if voted in.
  1. CHAIRPERSON’S REPORT
It was reported that there is likely to be an April increase for 3-4 year olds to £3.95 which would include a 5 pence increase (no change for two year olds). This is still not confirmed. NH has prepared letters ahead of time so that these can be issued to affected parents as soon as confirmation is received.
The Co-chair sent a response to the Chairman of the Village Hall regarding his complaints. She has since received an amicable response from him.
Anna Rogers, a Chartered Accountant has confirmed that she is available to sign off the accounts
The grant which the Parent Co-Chair applied for has been granted at a sum of £745 for school equipment.
The Chair elaborated on the fact that the coffee morning was not successful and that parents weren’t fully aware of the committee and their roles. She tabled the idea that every other committee meeting be held in the morning during school time. This way parents might be more likely available to attend. It was noted that staff would not be able to attend these meetings, hence proposing every other time. It was agreed that the committee would hold the next meeting on the 17th March at 9am – 11am to test the attendance.
Adverts for committee roles have been placed in the Hagbourne Magazine. Chair position needs to be filled by July. The positions of treasurer and admissions still need to be filled. NH/AA to keep rolling advert until positions have been filled.
FT stated that within her role, a period of shadowing time needs to be allowed for. She is to continue with her role for the Easter and September influx but ideally would have someone shadowing with the view to have taken possession of the role by December.
The Chair stated that Insurance is due by the end March. This needs doing before as ES is on Jury Duty during the Easter Break.
The Chair confirmed with Butt’s Piece Allotment Society that Hagbourne Pre-school are to be renewing their allotment.
The Next Village Hall meeting is planned for February the 18th. ES will not be attending and will send her apologies.
The Chair voted in Abigail Amos to take over from Natalie Haddrell as secretary. NH and FT seconded.
  1. TREASURER’S REPORT
Meeting with Anna Rogers and Accounts will be signed off by the end of March.
Bank Balance is healthy.
There are out dated elements, namely the sick pay, of the contracts which will be considered and updated during the pay review.
  1. PLAYLEADER’S REPORT
Red nose day is soon and the pre-school staff and children will be doing something to raise money.
End of term production will be held on Friday the 27th. Volunteers are required to bring cakes, raffle prizes and to help on the door.
Next term’s focus is to go out in the newsletter.
  1. FUNDRAISING
a)The Nearly new sale is still scheduled for Sunday 1st March however, without further support this will have to be cancelled.

a)The coffee morning flyer is to be amended by NH and sent to CC. This is to include more information on ES’s role and a write up on FT’s role. This will also include OFSTED quotes.
