32/14 CLERK’S REPORT, CORRESPONDENCE & MATTERS ARISING FOR INFORMATION

Clerk’s Report

The Clerk advised that planning permission had now been granted to Taylor Wimpey developers for the community building on the Land South of Stotfold development, which is to be passed to the Town Council. The developers are currently working through relevant legal agreements with Central Beds Council, once this is complete the Community Building Working Group will start discussions with the developers as to our building requirements.

The Chairman advised that she is very pleased with the handyman’s work. He has been taking the initiative and has identified works required before notifying the Clerk and Committee Chairman. Recent work identified included repairs to guttering around the Memorial Hall, and repairs soon to be carried out on the external bar door of the Memorial Hall as the frame is warped.

The Clerk has taken executive action, in consultation with the Chairman, to instruct our electrician to replace the faulty water heater in the Bistro at a cost of £600 plus vat. Approval for this executive action will be formally sought at the September meeting.

Matters Arising

Minute 23/14 – K Dean Roofing Ltd have yet to start the roofing work on the Simpson Centre.

Minute 24/14 – Councillor Cooper has yet to provide the specification and sketch drawings for the quotes to repair/replace the concrete area to the side of the Memorial Hall.

33/14 NOISE FROM COUNCIL CHAMBER DURING OFFICE HOURS

Following the last meeting when the Committee felt that staff working should not be disrupted by noise from hirers, in recent times by the Wednesday Sunshine Club using the Council Chamber, and agreement to the two suggested alternatives offered to them free of charge, complaints have now been received from a member of the Club and Club organiser. A copy of recent correspondence on this matter was provided to Members for information. One of the complainants advises that they are not taking this matter any further.

34/14 FREE LET REQUEST

Councillor Collier declared an interest in this item as he has an assigned Macmillan nurse.

Members considered a request from a resident to hold a Macmillan Charity Coffee Morning on Monday 15th September 2014 in the Memorial Hall for approximately 2 hours. All proceeds will go to the Macmillan Charity.

Resolved that a free let of the Memorial Hall is granted to the resident wishing to hold the Macmillan Charity Coffee Morning on 15th September 2014.

35/14 RISK ASSESSMENT, FIRE RISK ASSESSMENT & ACCESS AUDIT

Members were previously provided with the Risk Assessments and Fire Risk Assessments for the Simpson Centre and Memorial Hall.

Resolved that the risk assessments and fire risk assessments for the Simpson Centre and Memorial Hall are accepted, with an addition to the Memorial Hall risk assessment regarding the steps at the side of the stage.

Note: the access audits will be presented at the September meeting.
