POSITION DESCRIPTION
Position TitleGraduate Assistant, Admissions / Fitchburg State University
General Statement of Duties and Responsibilities
- Provide high quality customer service to prospective and current students, families, guidance counselors, staff, faculty, and others via phone, email and in-person contact.
- Perform data entry of admission &enrollment management materials and assist with Banner letter generation as assigned.
- Assist with incoming and outgoing mail, as needed.
- Assist with admission inquiry processing, as assigned
- GPA calculations
- Banner entry of applications and credentials
- Assembling decision packets
- Other duties as assigned

Detailed Statement of Duties and Responsibilities
- Answer phone calls, emails and walk-in inquiries from prospective and current students regarding application status and general information about the admission processes at Fitchburg State University.
- Input inquiries, applications and supporting documentation for undergraduate and graduate files. This includes both paper and electronic documents.
- Build application files for undergraduate and graduate students. This process includes: reviewing documentation (both US and international credentials), creating files, tracking missing items and updating the file checklists and tracking forms in Banner, and completing files.
- Process reviewed undergraduate and graduate files, i.e. enter application decisions and related information into Banner.
- Meet daily and weekly data entry goals. Speed, accuracy, and volume are key factors measured.
- Assist with inquiry processing, both electronic and paper.
- Assist with Banner letter generation as assigned.
- Assist with incoming and outgoing mail, as needed.
- Follow office policies and procedures
- Participate in on-campus recruiting events as required.
- Operate standard office machines including personal computers, multi-line telephones, fax machines, copiers, scanners, and calculators.
- Participate in continuous process improvement with a focus on quality improvement.
- Assist with other duties as assigned by the Associate Director of Admissions, Director of Admissions.
Qualifications Required at Hire (List knowledges, skills, abilities)
- Excellent computer skills-knowledge of Microsoft Office products required; knowledge of SCT/Banner product preferred.
- Ability to interact with internal and external stakeholders in a professional, customer-focused manner.
- Ability to understand the policies and procedures governing enrollment management administration.
- Knowledge of clerical office practices and procedures including office record keeping, office correspondence control, the use of office equipment, supplies and business letter preparation.
- Ability to manage multiple tasks, with attention to detail.
- Ability to work independently and as a member of a team
- Ability to work accurately with names, numbers, codes, and symbols and to proofread with accuracy.
- Ability to perform basic mathematical computations with speed and accuracy (addition, subtraction, multiplication and division).
- Ability to determine the proper format and procedure for assembling items of information.
- Ability to exercise sound judgment.
- Ability to maintain harmonious working relationships and to maintain a high level of confidentiality.
- Ability to perform above duties with or without reasonable accommodations.
Qualifications Required to be considered
- Graduate Student starting spring 2015.
- A GPA of 3.0 or higher needs to be maintained.
- Understanding of office procedures.
- Advanced knowledge of undergraduate and graduate application procedures and policies a plus.
