In preparation for this point, read the following suggestions from Chris Brown and Julian Fennessy (NNF):

(a) it makes little sense for people to come all the way to Namibia for a conference if we are going to host it in Windhoek – if it is to be in a city/town, then hold it where it is most central and most cost effective to delegates and SAWMA – and this would certainly be somewhere in South Africa;

(b) we wondered what flexibility there was in the time when the conference is held. If we could hold the meeting outside the peak tourism season we would have more options and costs would be lower. Would it be possible to hold it sometime during the second quarter of the year – say May or June?;

(c) we have discussed a number of options which we feel could offer an excellent rate, service and location:

(i) FishRiverCanyon area, which is an 8 hour drive from Cape Town and within relatively easy striking distance for many SA delegates -

(ii) private park and venue in the Kalahari some 20 km east of Mariental, with people flying into Windhoek and us providing bus transport (3 hours trip) to the venue -

(iii) lodge on the outskirts of Etosha (again most delegates flying in to Windhoek and being bused (4 hours)) -

(iv) lodge on the door step to Damaraland (again most delegates flying in to Windhoek and being bused (4 hours)) -

Additionally, we would also like to propose pre- and/or post-conference tours for interested delegates which could be arranged locally and depart from the conference. This can be discussed in more detail of course.

5.1Possibility of SAJWR – articles to become electronic available once accepted and formatted.

In preparation to this point, the publishing editor was contacted and his response was as follows: “We can do so quite easily. There are drawbacks that you should be aware of, however: (1) I see that unpaginated articles are being circulated as if published, followed by the distribution of paginated articles a bit later on, and this is causing confusion, even though the former carries a pre-print label; (2) journals go through a rigorous process after authors have seen their proofs, namely a set internal proofs here, pre-printer proofs for the editor after the journal has been strung together and then a set of printer's proof for signing off by the editor. In my experience many errors, and once in a while quite embarrassing ones, are spotted and corrected during this process.

Point no. (1) can be addressed if the editor instructs us to paginate articles in the order that they are processed. With regard to (2), the editor will be supplied with pre-printer proofs of individual articles which, once approved, will be posted to the web (i.e. published) within days --- any errors spotted after that will have to be placed in the category "too bad, so sad" as one simply cannot have various versions of the same paper in circulation.

Should you wish to follow the hasty route, then I think you should apply for a separate ISSN number for the online version.”

This can serve as background for further discussion.
