Important Instructions for Designated Contacts
The instructions below will assist you in completing the spreadsheet required in order for students to participate in the Tidewater Science and Engineering Fair (TSEF). This completed spreadsheet is due no later than January 17. Also, see page two for important reminders.
Directions for TSEF Spreadsheet Completion and Upload
- Type each student’s information into the spreadsheet and save the completed version in a place for easy retrieval. Use drop-down menus when available.
- Double-check that you have completely finished each students’ information and that everything is spelled correctly. This data is used to print the program and certificates for the fair.
- When all information is complete and correct, go to TSEF’s website to login with your username and password from this email. http://www.cs.odu.edu/~scifair/RegionalFair/judge/index.php
- Login as a Contact Person.
- Click on Upload Excel.
- Click on Browse to find and then Open your completed spreadsheet.
- Click on Upload File. You should see a Processing circle.
- After processing you will see a report listing errorRows, duplicateRows, and uploadedRows.
- If you see errorRows0, then you have uploaded the spreadsheet successfully.
- If you see a red report listing an error, go back to your original spreadsheet, correct it, and then follow steps 2-8 again. The list will NOT be uploaded until the original spreadsheet is completed.
- When you get the report errorRows 0, check your uploads by clicking View Excel.
- To edit entries simply click on the pencil. To delete, click on the red “X”.
Single Student and Team Project Entry Directions
Team entries and single student entries must be entered one at a time. When using these options, remember to double-check spelling before submitting the data. Again, we use this data for printing the program and certificates.
Entry for a Single Student:
1. Click Add a Student.
2. Carefully add the information. Most of these are from drop-down menus.
3. Click Submit when you have finished. Your entry will NOT be submitted if there is something incomplete.
Team Entry:
1. Click Add a Team.
2. Follow the prompts to complete the entry (most are from drop-down menus).
3. Note that you can only enter one gender.
4. Click Submit when you have finished. Your entry will NOT be submitted if there is something incomplete.

Important Reminders for Designated Contact People
· The completed and uploaded spreadsheet is due January 17.
· All applications are to be dropped off in person on January 22. There are two drop-off locations:
o New Horizons (Hampton) 8:00am-12:00pm
o Advanced Technology Center (Virginia Beach) 2:30pm-5:00pm
· When turning in your applications, you should have the following in order:
o Summary Form with names of Scientific Review Committee (SRC) and/or Institutional Review Board (IRB) members—this can be found at http://www.cs.odu.edu/~scifair/RegionalFair/contact_information.html
o One hard copy of completed spreadsheet
o Two copies of each application-- double-checked for completion and accuracy
· By mid-February all Designated Contacts are emailed notifications of acceptance/rejections
· All TSEF participants must upload abstracts to the TSEF website by February 20. This online entry form will be available mid-January.
· March 15- TSEF at Old Dominion University’s Webb Center
