ROLE SCORECARD: EXECUTIVE ADMINISTRATOR

Mission:

To assist and empower our management team by promptly handling administrative tasks, tying up all loose ends, and clearing blockers within the SuperHuman team.

Outcomes:

  1. Handle Administrative and Executive Assistant tasks in such a consistent, seamless, and timely fashion that our management team is able to delegate them and forget about them - without needing to follow up.
  2. Handling a wide range of administrative tasks including emails, scheduling, communication, ordering products online, and more
  3. Creating and updating our online course outlines, lectures, and materials to ensure a smooth process of updating our digital assets.
  4. Conducting our weekly flight checklist to ensure that everything is up and running properly and liaise with proper person to address any issue that will arise as soon as possible within the hour
  5. Keep digital workspaces such Google Drive, Asana, LastPass, SHE101, etc. tidy and organized
  6. Ensure weekly post production of podcast[1][2] and communicating promptly with Audio Editor, sponsors and guests.
  7. Ensure that all affiliates and employees are paid in a timely fashion and records are properly kept[3]
  1. Proactively take over the majority of Quadrant 1 and Quadrant 3 work that burdens our management team, allowing them to focus predominantly on Quadrant 2 work
  2. Work quickly and meticulously to resolve issues and blockers, solve problems, and communicate or report for any roadblocks along the way and once the task is successfully finished
  3. Empower our team to work towards our defined outcomes and strategic goals by clearing distractions
  4. Serve as the personal executive assistant to our CEO, acting as a barrier between him and the outside world where necessary, and helping simplify his personal and professional life
  1. Liaise directly with different departments to tie up loose ends and demonstrate initiative to handle administrative tasks.
  2. Communicate effectively across other divisions to ensure alignment with administrative tasks assigned
  3. Anticipate the needs of each manager, and proactively solve problems for the team and its individual members
  4. Keep the team on track and working towards completing our major milestones on time by monitoring progress maintaining accountability

[2]I assume that taking care of reaching out and evaluating is a time-consuming process. I am willing to take it on, as long as it does not take time from my job priorities.

On reaching out to get 'big' guests, we should probably go through past guests. That I will probably take care of! That we should probably discuss further, and maybe bring it up on a team meeting to gather ideas.
