Board of Directors Job Descriptions

There are currently 11 voting Board of Director positions. A list of positions and job descriptions is below:

President

·  Responsible for overall League Operations, including relations with Babe Ruth National, Babe Ruth State, Babe Ruth District, other Babe Ruth Leagues, and City of Winter Springs Officials, including contract negotiations

·  Responsible for the conduct of Board of Director meetings

·  Responsible for League Charter, Insurance, State of Florida annual incorporation, and filing/maintenance of tax exempt status

·  Responsible for insuring the League complies with all Local, State and Federal laws/regulations

Vice President of Softball Operations

·  Responsible for overall organization and supervision of the Softball/Fast Pitch program

·  Responsible for upholding all Softball/Fast Pitch National and Florida Babe Ruth Rules and WSYS Ground Rules of Operation

·  Responsible for attending necessary Local, District and State meetings which affect the Softball/Fast Pitch program

·  Responsible for nominating and training Softball/Fast Pitch Commissioners, Player Agent, Equipment Manager, Team Managers, Coaches, and other organization leaders, subject to BoD approval

·  Responsible for arranging training and enrichment clinics for all members

·  Responsible for working in unison with other Softball/Fast Pitch League VP’s/Commissioners to assure cooperative relationships with neighboring programs

·  Responsible for nomination of All-Star Team Managers and supervising tryouts and roster selection of the All-Stars that represent WSYS

·  Acts as Tournament Director for all Softball/Fast Pitch events

·  Responsible for suggesting and rewriting, with BoD approval, the Ground Rules document that governs WSYS Softball/Fast Pitch

·  Responsible for working with the Softball/Fast Pitch UIC to schedule and coordinate umpiring for all games

·  Responsible for attending all League events and providing support and visibility to serve the membership on behalf of the BoD

·  Acts as head of the Panther Tournament program, with accountability to the WSYS BoD, to include being a voting member and Chairperson of the Panthers Commission, acting as Tournament Director for all Panther events, and acting as Treasurer to the Panther Tournament teams.

Vice President of Baseball Operations

·  Responsible for overall internal operation and supervision of the Baseball program

·  Responsible for nominating, developing and training of Baseball Division Commissioners, Team Managers and Coaches, subject to BoD approval

·  Responsible for scheduling Umpire and league Baseball game and practice schedules

·  Responsible for coordinating Baseball Skills Assessments and Drafts

·  Responsible for coordinating Baseball All-Star player selection and nominating Manager candidates, subject to BoD approval

·  Serve as the contact point for handling all types of communication from the BoD members, Commissioners, Managers, Coaches, and anyone else who has a baseball related question/concern, and delegate if needed

·  Support the future growth of the League

·  Responsible for attending League events, such as BoD meetings, Registrations, Skills Assessments, Drafts, and Opening Day Ceremony, as well as attending team games and practices to evaluate Managers and Coaches

·  Act as the head of the Matrix Tournament program, with accountability to the WSYS BoD, to include being a voting member and Chairperson of the Matrix Commission, ensuring Ground Rules are established, followed and changes as needed to keep Matrix program successful, while maintaining the primary focus on the League recreation program

·  Responsible for serving as Tournament Director for all Baseball tournaments on home field (All-Stars, Top Team, Matrix, Swing Into Spring, and any others we might add)

·  Responsible for attending District Presidents Meeting as appropriate

Vice President of Fund Raising

·  Responsible for approving, organizing and running League wide fund raising events

·  Responsible for collecting funds and keeping accurate records of all monies collected, to be turned over to League Treasurer

·  Responsible for approving and overseeing any other team fund raising events (League/Matrix/Panthers), making sure that they meet WSBR standards

·  Responsible for attending all League events, such as BoD meetings, Registrations, Skills Assessments, Drafts, and Opening Day Ceremony

Treasurer

·  Responsible for maintaining the League’s financial transactions by preparing reports summarizing the League’s current financial position

·  Responsible for preparing reports required by regulatory agencies

·  Responsible for making payments for League expenses and for making deposits for League income

·  Supervises the Matrix, Panthers, Umpires and Concession bank accounts within the WSYS overall account

Equipment & Uniform Manager

Uniforms

·  Assist in League Registrations (Spring/Fall), and attend other League events, such as BoD meetings and Opening Day Ceremony

·  Obtain count from League for uniform count by Division

·  Follow uniform specifications and order Baseball and Softball patches/shields as outlined in Babe Ruth Manual

·  Explore uniform options within Babe Ruth guidelines, order and distribute all Baseball player and Coach uniforms in a timely fashion, accounting for size and style variations (Spring/All-Stars/Fall)

·  Order Baseball and Softball All-Star Pins for All-Star players, Managers and Coaches

·  Order and arrange for pick-up of All-Star Spirit Wear

·  Order and arrange for pick-up of BoD Wear

·  Maintain contact with uniform supplier and deal with all uniform issues, keeping BoD informed of any issues, recommendations or updates necessary

·  Review an submit supplier uniform invoices to Treasurer for timely payment

·  Inventory overages and exchanges of uniform items, store overages

Equipment

·  Review equipment inventory prior to, and throughout season, to identify items for purchase, inspect for damaged items, exchange or replace broken or worn equipment, and check for safety hazards (i.e.: cracks, etc…), all while trying to maintain cost-effectiveness and competitive pricing

·  Order extra protective gear to have on hand (i.e.: throat protectors)

·  Order Babe Ruth rule books each year, as needed, for Managers, Coaches, BoD and Umpires

·  Arrange storage for equipment

·  Prepare Baseball equipment bags for teams considering Divisional needs, and coordinate with Coaches for pick-up of League equipment and other items (i.e.: rule books, patches, and spring photo packets)

·  Order baseballs (Cal Ripken/Babe Ruth) within Babe Ruth specifications (Spring/Tournaments/Fall)

·  Order Baseball scorebooks for each Division (Spring/Tournaments/Fall)

·  Review and submit supplier equipment invoices to Treasurer for timely payment

·  Maintain contact with equipment suppliers and deal with all equipment issues, keeping BoD informed of any issues, recommendations or updates necessary

·  Coordinate and conduct end of season equipment return, and inspect equipment

·  Ensure proper parties have keys to batting cages, portable mounds, storage shed, etc…

·  Routinely inspect condition of batting cages and report to City (Alan Greene) and BoD

Vice President of Volunteers

·  Attend monthly BoD meetings

·  Assist at League Registrations and Skills Assessments, as needed

·  Responsible for obtaining and organizing all Adult Volunteer Forms in order to create a resource of volunteers to assist in all League activities held by WSBR, Matrix and Panthers

·  Responsible for ensuring that each family meet their volunteer obligation to the League by working in the Concession Stands, keeping score at games and tournaments, or acting as Manager, Coach, Team Mom, etc…

Baseball Player Agent

·  Responsible for ensuring that the player’s best interest, safety and well-being come first

·  Responsible for reviewing player qualifications at their respective levels

·  Responsible for coordinating and monitoring League Skills Assessments (Spring and Fall), Drafts, All-Star selection, and all player selections/placements

·  Recommends the number of League teams by Division

·  Must have patience when dealing with parents, Coaches and BoD members

·  Cannot be a Team Manager, as this would represent a conflict of interest

·  Responsible for handling any player issues that deal with Team or Division assignments, playing time, and skill levels

Registrar

·  Responsible for providing the BoD a primary contact for all Registration related concerns

·  Responsible for organizing and promoting the League’s youth Registration events (Spring and Fall), and recommending Registration dates and Registration Form changes to the BoD for approval

·  Responsible for editing Registration Forms once approved

·  Responsible for providing all necessary supplies and forms for Registration events

·  Responsible for arranging special promotional notices (marquee signs, school flyers, newspaper ads, etc…)

·  Responsible for providing an estimated budget of Registration expenses to the BoD for approval

·  Responsible for attending League events, such as BoD meetings, Skills Assessments, Drafts and Opening Day Ceremony

·  Assists League Secretary in updating the League database and Registration files

·  Responsible for answering registration questions via telephone or email, as presented by League families, and being available to collect late Registration Forms and payments for further distribution

Secretary

·  Responsible for circulating pertinent information to the BoD members and general League membership via email

·  Responsible for handling, and/or redirecting, phone calls and email inquiries from BoD members, Commissioners, Managers, Coaches, volunteers, parents and prospective League members, by being a central contact point in the League

·  Responsible for maintaining basic administration of League records, birth cards, website and player database

·  Responsible for scheduling dates and locations for League events through the City of Winter Springs (Registrations, Skills Assessments, Drafts, Opening Day, BoD meetings, and any other events necessary to the League)

·  Responsible for coordinating the Opening Day Ceremony

·  Responsible for attending League events, such as BoD meetings, Registrations, Skills Assessments, Drafts and Opening Day Ceremonies

·  Responsible for preparing and submitting Spring, Fall and All-Star Baseball and Softball rosters to National, State and District officials per Babe Ruth guidelines, including adds/drops during all seasons

·  Responsible for preparing and distributing BoD meeting agendas and minutes

·  Sits on the Matrix Commission as a voting member, and handles Matrix administrative duties of scheduling meetings, preparing meeting agendas and minutes

·  Responsible for preparing and distributing Baseball and Softball All-Star team notebooks, per Babe Ruth guidelines

·  Responsible for handling any printing needs the League and other BoD members may have for League events

Vice President of Education & Compliance

·  Responsible for ensuring all Baseball and Softball Managers and Coaches have successfully taken the Babe Ruth online certification, especially in regard to All-Star Managers and Coaches

·  Responsible for ensuring all Baseball and Softball Managers and Coaches have completed fingerprinting and background checks

·  Responsible for ensuring all Baseball and Softball Managers and Coaches have completed the Safe Kids Form
