Sports Club Constitution

Name & Status

The name of the Sports Club shall be the SPORTS CLUB NAME.

The Sports Club shall be an affiliated Sports Club of the University of Northampton Students’ Union, here within referred to as the Students’ Union.

Aims & Objectives

Example: The Swedish Society aims to bring Swedes and students interested in Sweden together. The society wish to discuss Swedish news, organize socials for its members, trips to meet with similar societies across the country, a Eurovision Party and to invite Sweden-related speakers. As the society progresses, it aims to organize a trip to the annual Lucia Choir Event in London.

Membership

Full membership of the Sports Club may be granted to any full member of the Union wishing to further the aims of the Sports Club, without regard to race, sex, gender, sexual orientation, disability, ethnic origin and religion in accordance with our Equal Opportunities Policy.

Full members of the Sports Club shall be entitled to:

·  Join and participate in any activities organised by the Sports Club

·  Attend and address any meeting of the Sports Club

·  Hold office in the Sports Club

Associate membership of the Sports Club may be granted to any person wishing to further the aims of the Sports Club. Applications for associate membership must be submitted to the Activities Office by the Sports Club Committee and granted by the Students’ Union where the applicant is deemed to add value to the Sports Club due to their experience/knowledge and where associate membership is no greater than 10% of total membership.

Associate members of the Sports Club shall be entitled to:

·  Join and participate in any activities organised by the Sports Club

Subscription

All full members of the Sports Club must join the Sports Club by subscribing to it. The membership is free and shall remain so until a decision is made by the Societies Committee.

Associate members cannot be paid for by the Sports Club funding and as such must pay for activities themselves.

Associate members must subscribe by completing an application form, available from the UNSU website, and submitting the form and the subscription fee to UNSU.

Committee

A Sports Club shall be governed by the decisions of its members, taken at any Sports Club meeting with the required quorum present.

The Sports Club must have a Committee consisting of a minimum three Committee Members who must adhere to the rules laid down herein, and to policy decisions made at the Sports Club meeting at which the required quorum was present.

The following posts shall be elected annually by the Sports Club’s full members only. Voting will be conducted online on dates and times dictated by the Activities Office.

Volunteer Role Descriptions and Specifications for these roles must be made available and will be held on file by the Activities Office.

Removal of Committee Members

The removal of a Committee Member must be decided by a two thirds majority at a General meeting of the Sports Club. Five signatures are needed to call a General meeting and 50% of the voting members must attend for the meeting to be quorate.

Records

Shall be kept by the secretary and made available for inspection by any member of the Sports Club or by the Activities Office if so required. These records will include, but are not limited to minutes of any meetings, planning documents and risk assessments. Record keeping must comply to the Data Protection Policy.

Finance

Finances should be held in and transferred through their Sports Club account held at the Students’ Union. Societies cannot have or use a separate bank account.

All monies shall be used to support the Sports Club’s activities in meeting their stated aims and objectives.

All Sports Club expenditure must be authorised by the President and Treasurer and countersigned by the Activities Office with accompanying required forms and receipts.

Applications by the Sports Club to the Students’ Union for grants shall be made at the discretion of the Committee by the Treasurer of the Sports Club.

Complaints procedure

If a member of the Sports Club would like to submit a complaint regarding any situation within the Sports Club they should contact the Sports Club President in the first instance. If necessary, they feel uncomfortable with contacting the Sports Club President or the complaint is regarding the Sports Club President they can contact the Societies and Volunteering Coordinator.

Formal complaints can be made following the procedure set out in The University of Northampton Students’ Union Constitution.

Meetings

General Meetings and Committee Meetings shall be called by the Secretary. All members shall be informed of the date, time and place of meetings at least three days in advance. The Sports Club committee must hold at least one committee meeting per month between September and May.

Constitution

This Constitution may be amended by a two-thirds majority of all Full Members present at a General Meeting.

This Constitution must at a minimum be reviewed annually.

This Constitution shall be subordinate to the Students’ Union Constitution, Societies Constitution and Regulations.
