Job description

This is a busy and demanding role working directly with the marketing director, his teams in communications services, community media, marketing and digital media, and with other teams across the organisation. The role requires exceptional organisational skills and acting as a pivotal link, both internally and externally, within a creative and vibrant media charity.

You will be responsible for providing personal assistance and administrative support to the marketing director primarily and from time to time to other members of his senior team.

Key responsibilities:

  • Responsible for diary management and handling telephone calls and correspondence
  • Maintaining files and databases to maximise effective contact relationship management and easy access of internal information
  • Arranging travel and itineraries, including the booking of external meetings
  • Meeting and greeting guests
  • Providing quality correspondence to and with funders, partners, customers and other high level contacts
  • Administration support for Media Trust events including launches and training events when required
  • Assisting with project management across team activities
  • Maintenance of key contacts on Media Trust's organisational database, including Corporate Members contact list
  • Taking and writing up of minutes, chasing of actions, and preparing presentation materials
  • Research projects across media and charity sectors
  • Writing of documents and reports
  • General administrative tasks, such as filing & photocopying
  • All ad hoc duties relating to the support of the heads of marketing, communications services, community media and web manager as required

Person specification:

  • Experience of working as an Executive Assistant or Personal Assistant at Director level
  • Outstanding communication skills, both written and spoken, with ability to deal with people from all levels within media, government and charities
  • Exceptional organisational and administrative skills with a focus on quality
  • Ability to work in fast-paced and demanding environment and an ability to multi-task
  • Accurate typing skills and excellent attention to detail
  • Fully proficient in Word, Excel and PowerPoint
  • Experience of research and report-writing desirable
  • Good team player, with initiative, patience and confidence
  • Able to represent the Media Trust professionally, both internally and externally, as first point of contact
  • Experience with Mac computers an advantage
