March 6th, 2017 MV Music Booster Minutes

Beth Smith called the meeting to order at 7:16p.m.

Kellie read the minutes from February meeting. Beth Smith made a motion to accept.

Financial report:

Savings balance:$4,667.40 $524 of that is the Tristan Carson Memorial Fund $4,000 uniforms

Checking balance: $30,796.61

choir balance: $4,365.71 (still waiting on a hotel receipt around $1,500?)

band balance: $26,430.90

MMO band balances: $9,420.97 credits=$4,943.29

Guard Invitational profit:$5,934.89

$2,000 designated to winter guard; the rest was put into general fundraiser monies.

Budget reports:Three ensembles aren’t self-sufficient: MB, WG, & Indoor Percussion. There’s also the operating budget. Of those budgets, “general fundraising” covers their deficiencies.

We are working on projections for our 2017/18 operating budget, most likely between $7,000-$8,000.This budget will include all cost for the trailers, awards/letters, recurring equipment costs, licensing, and office/postage supplies.

Indoor Percussion:Income has been $8,147.73, expenses have been $8,220.63 = –$72.90.Most fees have been collected. We still have $2,200 in Indoor payroll and around $300 in busing.$2,500 will be covered by general fundraising.

Winter Guard:Income has been $21,331.61, expenses have been $19,296.48= +$2,035.13

They still have $3,350 in payroll and most likely another $800 in busing.They do have another $4,000 in fees yet to collect.This ensemble has been working very hard on fundraisers and selling old equipment.They will most likely break even.

Varsity winter guard is going on a trip to Dayton, because they qualified in the WGI circuit.This is a huge accomplishment!They will continue fundraising to cover the costs of this trip.There will also be a $30/member fee for hotel costs.This will be added to their fees in MMO.

Old Business

Garner’s: Beth Smith reported. A plaque will be ordered to honor Garner’s donation.It will be delivered with either lunch or breakfast.We would like to give gift cards to the drivers who have volunteered their time to drive.

Tristan Carson Scholarship Fund:Beth Smith reported. An application will be put together for two $250 scholarships.

Football field turf:The Music Boosters will contribute $5,000 a year for 10 years. Any sponsorship that the band brings in will count toward our financial responsibility.The turf should be installed by the beginning of next school year.

New Business

Choir changes: Erin Flick reported that starting 7/1/17, all choir funds will go through the high school treasurer and no longer handled by the Music Boosters. This is a mutual agreement between choir director Leigh Anderson, HS principal Mr. Roach, and current school treasurer Lisa Tappy. The choir will still have the opportunity to participate in music-wide fundraisers (Snow Whirl); the Boosters will just cut a check to the school for their participation in such fundraisers.

Mulch/Landscaping fundraiser:It will be tentatively held April 30.We will have vendors and there will be professional landscapers available for $35 an hour.

Box Tops for Education:Kellie McGowen reported.$138.10 was raised from Box Tops for Education.

Extravaganza:Beth Smith reported.To include the band alumni, we will be starting a Band Alumni Association.We will have students wearing old uniforms for the last song.We would like to have an archivist document our band history.

Jazz Band and Indoor Percussion Banquet:Patty Williams brought up having a banquet for the Jazz and Indoor Percussion.Patty will collect any funds separate from the boosters for this event.
