Springboard Affordable Housing Management LLC
Outside Service Contractor Requirements
This introduction establishes general requirements for all vendors and service contractors supplying goods or performing work for Springboard Affordable Housing Management LLC managed properties.
1) MINIMUM INSURANCE REQUIREMENTS: An insurance certificate, in accordance with the Minimum Insurance Requirements shall be submitted by all Service Contractors to Springboard Affordable Housing Management LLC for approval in advance of any work being performed on the project and such certificates will be kept up to date and changes or renewals provided.
a) Commercial General Liability Insurance
· Minimum $2,000,000 General Aggregate
· Minimum $1,000,000 Per Occurrence
· Completed Operations
· Additional Insurance AND Primary Insurance Endorsements including ALL of the following entities named in both the “description of operation / locations / vehicles / exclusions added by endorsement / special provisions” section of the certificate and also on the endorsement itself:
Springboard Affordable Housing Management LLC, [Property Entity Name], Springboard Housing LLC, Springboard Nonprofit Consumer Credit Management, Inc. are named as Additional Insureds on a primary & noncontributory basis per the attached endorsement.b) Automobile Liability Insurance
· Minimum $500,000 Combined Single Limit (Each Occurrence)
· Any Auto Coverage
OR
· All Owned Autos, All Hired Autos AND All Non-Owned Autos
c) Workers Compensation Insurance
· Minimum $1,000,000 E.L. Each Accident
· WC Statutory Limits
· Waiver of Subrogation including ALL of the following entities named in the Schedule:
* Springboard Affordable Housing Management LLC, [Property Entity Name], Springboard Housing LLC, Springboard Nonprofit Consumer Credit Management, Inc.
2) Service Contractors shall hold valid licenses for the type of work to be done, and performed their particular trade in a good workmanlike manner.
3) The Service Contractor shall obtain all permits required to complete the work in accordance with all local, state and federal requirements. A copy of the permit must be filed with the property.
4) The Service Contractor or any of its subcontractors shall comply with the latest Occupational, Safety and Health requirements.
5) The Service Contractor shall be responsible to provide labor and material releases, using the form provided by Springboard Affordable Housing Management LLC.
6) All persons employed throughout the course of the contract shall be qualified for performing the work to which they are assigned. Clothing shall be suitable to the task being performed.
7) Utmost consideration must be given to adjoining residents. Any and all activities that promote dust, odors, or loud noises such as pounding, core drilling, stud shooting that may annoy or inconvenience these neighbors, should be scheduled at optimum times through a Springboard Affordable Housing Management LLC representative.
8) Due care shall be exercised while performing work. Springboard Affordable Housing Management LLC will hold Service Contractor responsible for damages to Springboard Affordable Housing Management LLC or resident’s property and for failure to meet the highest industry standards.
9) INDEMNIFICATION: Service Contractor shall defend, indemnify and save Manager – Springboard Affordable Housing Management LLC and all related interest of Springboard Affordable Housing Management LLC and all owners, hold harmless against any and all claims, expenses, loss or liability whatsoever arising out of or in connection with the operations, activities, or omissions of service contractor, its employees and agents in furnishing the service provided herein, expecting only such as are attributable to the sole negligence of the Owner, Springboard Affordable Housing Management LLC or its employees.
10) All Service Contractors are to check in with the office to obtain parking instructions. The leasing office parking area is reserved, as well as, all assigned parking stalls with numbers on them. Violators will be towed away at their expense.
11) MATERIALS: Unless otherwise specified, all materials shall be new and subject to approval of Springboard Affordable Housing Management LLC. A representative of Springboard Affordable Housing Management LLC shall direct delivery of material. Vendor and / or Service Contractor shall also provide Material Safety and Data Sheets for all products used in the completion of the work.
12) Common area corridors, lobbies, restrooms, shall be kept clean at all times. Any construction related dirt, dry wall dust, paint or spackle spills or other damage shall be cleaned up immediately. Electrical and telephone rooms shall not be used for storage of materials or discard of debris. Construction areas shall be maintained in a safe working condition. Packing materials, construction debris, trash and waste shall be gathered up daily and removed from the premises in a safe manner and in compliance with all legal codes and requirements. No dumping in area drains is allowed nor in property trash receptacles.
13) Use of personal radios or radios in vehicles for employee entertainment is prohibited anywhere in or around the building without express written consent from the landlord.
14) Service Contractor is responsible for monitoring subcontractor work insuring that subcontractor complies with all of the requirements noted above.
We ask that in the interest of completeness and follow-through that all contractors read and inform their employees and subcontractors of the specifics and intent of these guidelines. Copies of this form must be signed and returned to the Property Manager along with the paperwork for Springboard Affordable Housing Management LLC Approved Service Contractor Requirements. Failure to comply with these requirements could result in removal from the Springboard Affordable Housing Management LLC approved Vendor/Service Contractor List.
