How do I apply for the Hays County Sheriff’s Office Wrecker Non Consensual Towing rotation?
- You will first need to obtain licensing through Texas Department of Licensing and Regulation (TDLR) for your Vehicle Storage Facility, Incident Management Tow Trucks and Tow Truck Driver’s. You will need to thoroughly read The Hays County Sheriff’s Office Wrecker Policy, and submit the proper paperwork for processing.
- Once you have completely reviewed the policy and agree to the terms of the policy, you should complete the application which is on the Sheriff’s Office Website, under “Rotation Towing Policy”. Be certain to complete the application pages so they are legible and accurate. If they are not clear, this may delay the application process. Also be certain to have the application affidavit page notarized.
- In addition to the application found on the Sheriff’s Office Website Under “Rotation Towing Policy” you will need to obtain copies of the current VSF insurance policy, TDLR certification notice for the VSF, TDLR “Cab Card” for the trucks to be used for HCSO tows, copies of the current Registration, Inspection, insurance for each of your trucks, and a business card.
- Once the application is completed, you will need to submit it and the supporting documents via mail to 1303 Uhland Rd. San Marcos, Texas 78666 or deliver them in person as a “packet” to 1303 Uhland Road also known as The Hays County Sheriff’s Office Public Safety Building. Both need to beaddressed to the attention of the traffic sergeant. Once the application is delivered please notify the wrecker coordinator by telephone 512-393-7381 or by email to inform them that it has been sent or delivered.
What if I do not have my own VSF?
- You may use another VSF as long as it is located in Hays County and has been inspected by TDLR. Additionally, the facility(s) will need a current Hays County Sheriff’s Office inspection and permitting.
- You will simply include a letter from the VSF owner that he/ she is allowing you to use their facilities for Incident Management tows. The letter should include the VSF name, address, TDLR number, and Hays County Permit number (if it has already been inspected). The letter should be signed by the VSF owner and preferably on their official letterhead.
What should I expect after my application has been submitted?
- Generally with initial applications, there will be background investigation conducted on the drivers. While this is being done, appointments will be scheduled for deputies to inspect your VSF and trucks.
- Once the backgrounds have been completed for each of the driver’s, dates and times will be scheduled so that photographs of each driver may be taken in order to create driver identification cards.
- Upon the completion of the Identification cards, an invoice will be generated and submitted to each company outlining the fees and the balance due.
- Payments may be made by check or money order.
- Once the fees have been collected a final receipt will be generated and given to each company reflecting that their payment was received and approved.
- A final letter outlining the VSF(s), Truck(s), and Driver(s) that have been approved will be forwarded to each company.
What if a driver is denied? Will you tell me why?
- To avoid having a driver denied it is recommended to conduct a Criminal History Check on your driver prior to submitting them for approval. The criteria for denial are listed in the Policy, so if any of the reasons listed are determined during the background investigation they will be denied.
- If a driver is denied, a letter will be delivered to you notifying you that the driver has been denied based on the policy.
- Please understand that a criminal history is very private and both by law and by policy we maintain the utmost confidentiality when dealing with them. We cannot release any information or findings specifically related to a person’s criminal history. Please understand that if you ask we will have to decline to answer and we will refer you back to your employee for any questions about it.
What if I need to add a VSF, Truck, or Driver after the initial application period which runs from November until January 1st each year?
- Simply complete the application and submit the supporting documents for each one.
- A VSF will need a copy of the insurance and the TDLR approval notice.
- A truck will need Cab Card, Current Insurance, Current Registration Receipt, and Current Inspection certificate.
- A driver will need to sign the application, and supply a copy of his/her State Driver’s License and TDLR card.
- The current fee schedule found in the policy and it’s amendments will be utilized
May I purchase replacement or extra Driver Identification Cards?
- Yes, simply indicate you would like an extra/replacement in writing and you will be issued an additional/replacement.
- The written request should also include the reason for a “replacement”. For instance it was stolen, lost, or just the need for an additional ID.
What if I need to take a Vacation or need to temporarily be taken off of the rotational list for equipment maintenance?
- This is very simple. If you wish to take a vacation simply notify the wrecker coordinator by emailing .You must allow at least 2 weeks in advance for this to be approved. The Approval or denial will be sent via return email. Please make note of the “Prime Holidays” listed in the policy. These are generally dates we have higher than normal call volumes and really need the wreckers to be available.
- If you need to be temporarily removed from the rotational list for maintenance reasons, please contact The Hays County Communications Division at 512-393-7896 and then contact the wrecker coordinator at 512-393-7381. Once the maintenance or repairs have been made be certain to call The Hays County Sheriff’s Office Communications Division and the wrecker coordinator at the same numbers and notify them both that you are back in service. This will ensure that you are placed back on the rotation list.
May I cancel my participation with the Hays County Wrecker Rotation?
- Yes, simply forward a written notice of termination to The Hays County Sheriff’s Office Traffic Sergeant, 1303 Uhland Rd. San Marcos, TX. 78666. You may cancel your participation at any time, but monies paid for fees will not be returned.
