Meeting Notes for November 18, 2009

Attendees: David Barton, Robert Heuermann, Barbara Keinath, Rob Larson, Ann Leja, Ed Mack, Stephanie Miller, Joyce Paxton, Sally Pinkston, Susan Shumer, Dawn Syverson. Not attending: Andrew Cster, and John Kobler.

Agenda:The meeting agenda was approved.

Meeting notes:Notes from the 9_17_09 meeting were approved, any changes should be sent to Joyce. No notes from the October 14 retreat will be posted.

CICT By-laws updates

The Planning & Budget Council is reviewing their by-laws and will consider the changes to the CICT by-laws after the review in complete. There was further discussion about the proposed changes for the co-chair role and managing future CICT meetings. Robert Heuremann, who is a member of the Planning and Budget Council, suggested CICT operate under the proposed by-lawchangesand reevaluate at a future date. Barbara Keinath and Ed Mack will serve as co-chairs of CICT.

CICT Retreat October 14th

General comments

  • Helpful to clarify the System Portfolio questions for process and results.
  • Good opportunity to identify next steps and think about our role as Leaders.
  • Great for getting to know the members of CICT better.
  • Liked the chance for group collaboration.
  • Better understanding of where and how categories overlap.
  • Helped new members get up to speed.

Possible next steps

  • Plan to make the retreat an annual event.
  • Play a leadership role when and where we can.
  • Provide talking points.
  • Start on the results questions for the System Portfolio.
  • Use CICT members for answers and as a resource.
  • Make time to work with Networks.
  • Update the University Plan and decide how it relates to CI – help integrate both.
  • Identify ways CI can help in difficult financial times.
  • Find ways to help Supervisors/Managers better understand CI tools.
  • Have a retreat for the networks. Invite networks to CICT meetings.
  • Find ways to share best practices.

Question about projects

Sally Pinkston posed several questions for members. She asked “where is the place for tasks? Who, what, where and how do we get things done, like the advising record systems for students? And how do we elevate a project upward and move forward to action and results?”Members talked about the role of CICT in projects and leading continuous improvement. These questions require a university wide conversation which CICT could support.

Draft goals for 2010

1. Write talking points and elevator speech

2. Identify ways for department managers and supervisors to talk about CI with staff

3. Complete the 2010 Systems Portfolio

4. Re-examine the role of Category Networks.

Joyce will report back to CICT with measurements and dates for the draft goals. The CICT draft goals will be added to the December agenda for discussion.

CICT sub-committee

Barbara Keinath asked for volunteersto be part of a sub-committee to draft talking points and/or an elevator speech for CICT. Creating talking points or an elevator speech may help establish a better understanding of CI and how staff thinks about CI and their jobs. Dawn Syverson, Ann Leja, and David Barton volunteered to:

  • Draft 2 or 3 version of the “CICT elevator speech”
  • Identify places to deliver the message

MSUAASF - CI language in PDs

  • Minutes from the September MSUAASF meet and confer state that MSUAASF members will report back to CICT regarding CI language in PDs.
  • Some members of CICT have included CI language in PDs and offered the following comments
  • Staff receives credit for the work they do.
  • CI can be part of professional development – we all can find ways to make improvements.
  • You can replace the word maintainwith continuously improve in PDs. We do maintain tasks but much of the time we make improvements.
  • IFO Position Announcements will include Metropolitan State University is a member of the Academic Quality Improvement Program of the HLC.

Two Action Project proposals will be considered at the next meeting

  • Academic Scheduling Redesign
  • Measuring Student Engagement

Next meeting: December 16, 2009 from 9:00 to 10:30 in the St. Paul Room.
