Home Screen
When you login you will see your timetable / diary.
Data shown is direct from your SIMS database and is live. The date and time will be the same as set on your PC.
Toolbar:
Menu – when selected, your main menu will be hidden and your screen maximised across screen. Within this menu, you will also find the function to minimize and close PARS
Home – select to take you to the home screen.
Includes drop down to show other windows open
Register – shortcut to current register
Alert – emergency alert message / truancy alert
Student Timetable – shortcut to a student’s timetable
Information – summary of student information inc. timetable, behaviour and
Grades
Lockdown – quick log out screen

Previous user note (when opening a new menu item, the page was hidden and you could only see the item page by clicking on a action Toolbar icon)– this has now been made easier by opening a TAB bar above your timetable allowing you to view multiple pages
To close a tab item (example Attendance reports as shown above) you now click on the close button to the right of the screen.

Selecting left and right arrows enable you to look at previous weeks of your timetable and also gives you the option to see either 1 day, 5 day, 7 day or 31 day view
Name
When you log in you will see your name on the right hand
side – if you wish to see another member of staffs’ timetable,
click onto your name and the selected teacher. Simply click
back on and find your name to return to your timetable view.
If you have permissions set to see other staff timetables, click on your name and it will list other staff. Simply click on another person to see their information or select your name again to close the window.
Timetable:
From your home screen you will also see timetable – data is updated from your SIMS database. If there are any anolmalies, please let your administrator know asap.
Statutory session registers can be seen with a red box, lesson data has a grey box
Register
How to mark:
Taking a Register
To open your current register click on the register icon. As registers should be taken within the first 5-10mins of a lesson or session, the register shown will be correct to the time on your PC
You can also click on a register direct from the timetable as shown above by double clicking on the required register – you may only be able to open your register at the time of the session or lesson on the current day only. This will depend on your personal permissions set by your administrator.
To add a mark, highlight the name of the student and type
the mark (letter or symbol) on the keyboard; alternatively
clicking the spacebar or return key will enter a present mark
…. You can also mark the students in using you mouse.
A single click on the student name is a present ‘/’
A double click on the student name is an unauthorised absence ‘N’
There are various options to enter marks giving you a choice to use what you find easiest.
IF YOU HAVE THE OPTION TO USE ‘MARK ALL AS PRESENT’ PLEASE ENSURE YOU CHECK THE STUDENTS ARE IN CLASS BEFORE SAVING. IF THIS OPTION IS NOT USED CORRECTLY IT CAN CAUSE MANY PROBLEMS AND WE MAY HAVE TO REMOVE THE OPTION FROM THE MENU
Once the register has been completed, select SAVE from the menu of the left however do not close in case of latecomers.
You will see a couple of windows appear allowing you to double check before you accept the register
As soon as you SAVE, the data you have entered so far can been viewed by other members of staff.
In the event of the student being late, when selecting a ‘L’ code, you must
also enter the amount of minutes the student has been late. This allows
for true attainment analysis in PARS attendance reports
When you have reached your close of register time (your attendance policy should state this) select close from the register on the left hand side.
Please note; Once you have taken your register, you take ownership of the marks therefore only yourself and your attendance officer can change marks. If you close the register you are able to go back in to the register and change the mark – an example being you have marked someone in as present and saved then realised they are not there. You may have a limited time to do this so always best to confirm attendance before saving first time.
As soon as you take a register you create a ‘time stamp’ so admin will know :
1. Who took the register
2. Time register taken
3. Date register taken
4. PC user was logged onto
5. Record change of attendance marks
6. Missing registers
Attendance personnel should also be made aware before an event of any reason to why a student cannot be marked for example; field trips, holidays, works experience, interviews, medical. This will enable your attendance personnel to enter correct marks onto the registers in advance, for all lessons on the dates given. This is only advisable for either this week or next as it can cause problems if timetables are changed in NOVA-T (to be updated by Capita)
To view your mark book from an open register
Selecting will give the students weekly
Timetable.
This option in the menu bar will give you a split screen menu so you can look at today’s register plus previous timetable for the same class. This can also give you a quick guide if anyone is truanting from your class!
The view below shows all previous Thursday 5th period classes and today’s register Thu:5 Not very popular this class!
Once you have marked the register click save. You cannot close a register if you have left a student without a mark. If the student is not there, mark the student with an unauthorised absence. Your attendance officers can change details if required at a later date.
Truancy Alert (if used for this purpose)
If you are using the truant alert button in your school, if a student attended the previous class however has not arrived in your then click on the emergency icon on the tool bar. If the button is clicked whilst you have your register open, it will recognise who you are, where you are …. Type in the students’ name and click Accept. This will go to the designated staff set up in the system.
When the designated staff receive this it will flash up on their system as an emergency notice
Selecting the Pupil information key will show further student detail if required
You will also see at the top of this window other tabs including timetable / contacts / behaviour and lessons. PARS behaviour will be blank and used at a later date.

NB. The attendance data available on the reports is only as good as the registers taken and if registers are missing then this is calculated as an unauthorised absence for the student. All registers must be complete to allow for true analysis of data including attainment vs assessment, patterns of truancy…. Also for fire drill purposes!
Allocating Merits and Demerits
From the register:
Green happy face = positive behaviour
Red sad face = negative behaviour
To enter a merit or demerit for an individual
student click on the cell in the merit or demerit
column next to the their name
You will now open a new window to enter behaviour details
Select the category, ground and then the outcome
applicable to the student by using the drop down
buttons and selecting
The options given (category, ground and outcome)
have been pre-configured by your school.
Extra comments can be made by clicking the ‘comments’ tab
To batch enter student behaviour (example more than one student has made extra effort in class), click on the merit or demerit icon in the header
When the window opens, you can select
the students from a drop down list
If you are not teaching a class and wish to enter a behaviour incident whether positive or negative, go to main menu
Select student(s) from list and Accept
Click whether it is a merit or demerit
and continue as shown above
As you are not in a register, you will
have to enter location also.
Referring behaviour
You may have the permissions set up to refer behaviour to another member of staff – you will be advised by your school on procedure if referral system used.
At the foot of behaviour allocation window you will see a list of staff
To refer, tick the first column and then select ‘notice’ this will send a message to the referred member of staff to deal with
Collect own referrals
If you have been sent a referral which requires your input,
go to main menu
To input data on an incident, double click on the referral
You will now be taken into the incident screen – select the ‘comment tab’
Input your data into the Support
comment box. If you want to
refer this data either back to
originator or to another member
of staff, click on the ‘Incident’
tab and tick option BEFORE you
click Accept
When a referral is sent to you, you will get notification at the foot of your home screen. This is to advise you of the incident only – to act upon the incident you must go to collect referral as shown above.

Messaging
is a student message - If a student in your
class receives a notice, an envelope will appear
double click to open
The message will appear as a pop up (bit of advise, switch view to monitor only if you are taking the register using a SMART board for all the class to see!)
Once read out to the students, if you select OK the envelope will disappear from the registration screen. If you cancel then the envelope will stay for all classes until a member of staff has clicked OK; this will prevent every teacher reading the same message out and if the student is absent, will keep the message live until the student is available to accept the message
Selecting reply will send a reply note to the sender… always advisable to reply to confirm you have passed the message on to save confusion
Sending a message to student or staff:
Select from the main menu
To create, simply click ‘create a new notice’ in the menu bar.
Receiving a message
These are listed in the foot of your home page and will show all information sent to you specifically and can include reminders and comments – you won’t see any until you are sent one!
Double click on one of the
items listed to read.
Delete Message
To delete a message you must ‘Mark as read’ first then click ‘disregard’
Please note: Depending on user permissions all staff may be able to read your messages – please bare this in mind when arranging a wild night out or giving personal advice to a colleague!
