Instructions for Lodging Applications


/ When to use this form
This form is to be completed by candidates from the Faculty of Arts, Science, Law and Medicine, Nursing and Health Sciences who are applying for promotion to senior lecturer, senior research fellow, associate professor and professor.

How to complete this form
Candidates complete the form in accordance with the Staff Development Procedure - Academic Promotion for Candidates Levels C-E.
Candidates must ensure that the following sections are completed:
Part 1 – candidate details, weightings, statement of relevant personal circumstances and summary curriculum vitae are to be completed by the candidate.
Part 2 – career summary statement is to be completed by the candidate.
Part 3 – the case for promotion – achievements in research, education and service is to be
completed by the candidate and performance supervisor.
Part 4 – sign-off and head of unit report is to be completed by the performance supervisor, grant holder (for research only staff), head of unit and the candidate.
Candidates must:
·  observe maximum word limits, where specified;
·  not delete any irrelevant columns or tables unless instructed on the form;
·  avoid duplication and use summaries and tables to present information;
·  use A4 black and white pages (or colours compatible with copying); and
·  not alter set margins, fonts or font size defaults.
How to Lodge Applications
Australian based candidates and all Professorial candidates from Sunway/South Africa
Lodge completed and signed application, along with PDO plans, additional supporting evidence (5 pages max.) online via the University's e-recruitment system by the closing date of the promotion round.
Sunway/South Africa based candidates applying for Levels C-D
Lodge completed and signed application with the Application for Promotion Cover Page: Sunway and South Africa Levels B-D along with PDO plans and additional supporting evidence (5 pages max.) to the campus promotion coordinator by the round closing date.

Participation in the BI Academic Research Activity Report Pilot
What is the Pilot Program?
In 2014 Monash HR are working with four faculties to pilot the use of the BI (Business Intelligence) research activity report to support the Academic Promotion Process level C - E.
The purpose of the pilot is to determine if the BI research activity reports improve the quality of information provided to the committee members and to establish whether the reports can streamline future promotion applications for candidates.
The BI research activity report contains data regarding a candidates research activity. This report will minimise or eliminate the need for you to complete the research tables 1 – 3 contained in Part 3A of the case for promotion form. The BI research activity report draws information from the University’s corporate systems, including Research Master, Callista and SAP.
The BI research activity report will form part of your Case for Promotion and will be provided to Assessors, Associate Deans and the promotion committee in order to assess your case for promotion.
How do I participate in the Pilot Program?
If you would like to participate, you will be required to request a copy of the BI research activity report from the contacts as detailed below.
You will then have an opportunity to review and update the data contained in the report prior to including the report with your application form.
Once you are satisfied with the data in the report, you will be required to upload the report during the online application lodgement process.
The tables in the application can be used to supplement the information contained in the BI research activity report.

Part 2: Career Summary Statement
Given that other sections of the form relate to achievements only since the last promotion, this section allows you to provide a brief summary of your career focus and achievements to date. (max. 500 words)
Part 3: Case for Promotion - Achievements in Research, Education and Service
1.  You are required to prepare a brief statement in each of the relevant academic achievement areas of research, education and service, designed to satisfy the promotion committee that the criteria for promotion has been met.
2.  You must list achievements since appointment to your current level, including achievements at a previous institution or institutions only if you were appointed to Monash at the same level or lower than the previous role, or if those achievements are still having a significant impact (if the latter, please indicate)..
3.  You are able to provide supporting evidence (maximum 5 pages) to justify the achievements in the case for promotion. The supporting evidence must comply with Staff Development Procedure - Academic Promotion for Candidates Levels C-E.
4.  You must refer to the academic performance standards both for the current level and for the level to which promotion is sought. Further information is available on the Academic Performance Standards website.
5.  The tables below have been designed to assist you in the preparation of your supporting evidence. No columns or headings should be deleted, you should indicate if the headings or columns are not applicable to your outputs.
Part 3A: Research
Statement on research achievements
1.  Summarise clearly your area of research and research achievements
(max. 100 words for T&R, 200 research only, and 50 words education-focused candidates)
2.  List your top five research achievements and provide evidence of their impact
(max. 250 words for T&R, 500 research only, and 125 words education-focused candidates)
3. Outline:
·  How, at your current level, you have met or exceeded the faculty’s expected standard of research performance in a sustained manner; and
·  How, at the level to which promotion is sought, you have the capacity to meet at least the minimum level of required research performance.
You are required to provide evidence of the above by referencing the qualitative and quantitative research performance standards. Further information is available at the Academic Performance Standards website.
When addressing the research performance standards, it is recommended that you present the relevant information in a table, for the ease of reference of associate deans and the promotion committee.

Instructions for completing this section – BI Research Activity Pilot Program
If you are participating in the BI Research Activity Report Pilot Program, you are required to obtain a BI research activity report by following the instructions on Page 2 of this form. You will then upload the report during the online application lodgement process.
In addition, the tables 1 - 3 below can be used to supplement the information contained in the BI research activity report. You will still need to manually complete table 4.
If you are not participating in the BI Research Activity Report Pilot Program you will need to manually populate tables 1 -4 below.

Instructions for Completing Table 1: Research Outputs
1.  You must list your achievements since your appointment or promotion to your current level. If you moved to Monash from the same level of appointment or higher,you may include evidence of achievements from that level of appointment at the previous university or universities. Do not include achievements from lower level appointments.
2.  Research outputs should be listed in chronological order (starting with the most recent), numbered, and to be cited appropriately, including all authors and journal page numbers, where applicable. Where the candidate is not the single author, clear evidence of the contribution, for example indicated by a percentage figure, should also be provided.
3.  Highlight (in bold) your top five research outputs in terms of impact.
4.  As per other sections of the form, add cells to tables to include more information.

Quantitative Performance Standards
For promotion applicants in 2014, overall satisfaction median of 3.6 or greater for the overall satisfaction question in the unit component of SETU is the endorsed minimum quantitative standard for education for all Monash teaching and research staff.The aspirational quantitative performance standard is the overall satisfaction median of 4.7 or greater for all Monash staff who teach.
