8 September 2010All Night Grad Party (ANGP) Meeting Minutes

The meeting was called to order at 7:10 PM.

Present were: Jennifer MacDonald, Jodi Clarken, Mary Lane Stine, Chip Stine, Kandy Klacik, Tom Klacik, Michelle Haase, Mary deCanter, Dale Tidasach, De Laruia, Lisa Woody, Sophia Antwie, Kim Dupont, Jana Franklin, Liz Frazier, Peggy Tettelbach, Betsy Ryan, Angelica Botkin

Chairpersons (Jennifer MacDonald & Lisa Woody) Welcomed the attendees and reminded them the graduation is June 16th, 2011 2PM at the Patriot Center. Asked to contact secretary with any changes to the minutes.

Budget Update: Jill Howard

Jill Howard announced carryover of about $3,400 for this year’s starting amount. The committee needs to leave $3,000 for next year. $2,000 was added to the budget for the photo booth and more prizes.

Chairpersons Report:Jennifer announced Volunteer Coordinator is still needed.

Committee Reports

Out of order:

Entertainment Books: (was done out of order) They are books of coupons from various businesses. There are 150 editions of books around the country. Can sell any of them $25-$40 / book. Go on line to entertainment and can send out e-mails to people. They can buy online. This years new books are sold at $30 and there are $30 worth of coupons just on the outside cover of the book. With the new books, committee members can take the 2010 for free because most coupons in the old book will expire between Oct 31st– December 2010.

The following are theprofit margin for ANGP:

Sell 1-99 books 20 percent

100-499 40 percent

over 500 get 50%

Back of book is out of town editions and merchant index.

Let Mary deKanter or De Lauria know if there are any other company/businesses themembers think should be in the book.

Checks from the sale of the books should be made out to SCPTSO Class of 2011.

Ticket Sales:Total of 47 has been sold. They will be sold at highschool Back to School Night, Senior Breakfast, and Senior Night. Need volunteers was stressed. Volunteers need to come ½ hour before the event and stay ½ hour after. Goal is to sell 500 tickets. Right after December there will be a Phone-a-thon. Anyone with an office/ office space and phones were asked to contact Jodi Clarken, if there are no such volunteer of accommodations, volunteers personal cell phones will be used.

Vendor Fair: Kim Dupont reported letters have gone out to previous vendors and crafters. They will look into SCSS fest, Burke Festival, and Occoquan to solicit more participants. She put out a call for donations of raffle item. She will be contacting music department to seeif there are any seniors who will volunteer. The date of the fair will be Dec 4th from 10-3pm.

Donations: Jen reported letters would go out after the start of school.

Fundraising: Restaurant Nights – Ledo’sPizza has agreed to do a Restaurant Night for ANGP third Tuesday of every month starting September 21st. It will be an all day affair including carryout and dining in. No one needs to specify the school or event. ANGP will get a percentage of the proceeds through May. Camille Gaviola asks for any other restaurant night possibilities.

White House Ornaments: Reported 89 sold. 50 were sold at the Stampede. It will be sold at all events. There was a call for volunteers to help sell at events and for members to take them to work and sell them there. Jen stressed one need not be a chairperson to take ornaments or books to sell.

Unfinished Business

Jen reminded the attendees that last month a possible theme of first class was discussed and there was a need to finalize the wording to promote it. She told the members that various parts of the school such as the gym is decorated using an idea from the theme and students went from one area to another participating in different activities.

The committee voted the theme for 2011 will be “First Class Ticket to Your Future: Flight 2011”

Security: Dale Tidaback reported he has a volunteer. He had also contacted last years chair that have been very helpful. He reported the need for more information for example there was no contact or phone list from last year. He reported having put in a request for 2 police officers.

New Business

SCSS fest – is September 10, 2010 (Friday at 4:30)– Set up will be at 4 and it will be over by 7:30. Concession Volunteers and vendor table. It is a Senior class fundraiser done in carnival style before the football game with different vendors selling different things. Last year ANGP did pop corn and snow corn. Lisa Woody got machines from Silverbrook. Carol Reskovak is getting food. At bubble can sell items like magnets, ornaments, etc. Flocking is overbooked having 6 this week. So they will not there. Bracelets (30 sold at Stampede) will be sold.

Lisa Woody(concessions) – called for a cooler and some volunteers. Popcorn will be sold at a dollar, snowcones a dollar also. Lisa will have a football table inside the game selling spirit wear but can sell ornaments etc. Need volunteers. If interested, let Lisa or Jen know. Cooler was donated.

Other Events: Chamber of Commerce event on Sunday was discussed but dropped because because most runners are out of the area. Diana York is in charge of it and is doing water cups. Jen is working fun fair and need volunteers. Time slot needing volunteers are 13:30 to finish.

Ticket Sales:PayPal is available with South County PTSO – ANGP – use pay pal to see how it works. (Jodi or PTSO Treasurer gets info). Report any bugs.

According to bylaws, committee chairs need to be a member of PTSO. Can join online via PayPal.
