Objectives: Provides a full range of secretarial and office assistant duties to the UNICEF Representative (or Officer-in-Charge)

Major duties and responsibilities:
- Arranges appointments and maintains Representative’s calendar, receives high-ranking visitors, places and screens telephone calls and answers queries with discretion;
- Prepares briefing materials for supervisor for use on official trips or special meetings;
- In charge of protocol matters: (a) arranges meetings with high-ranking officials; and (b) arranges official receptions given by the Head of Office;
- Participates in the organization and preparation of staff meetings with the Representative as well as of special meetings like Info Sharing and CMT; takes minutes / notes; distributes material before the meeting and follows up on CMT actions;
- Prepares informal translations and may act as interpreter;
- Receives, screens, logs and routes correspondence including pouch & mail. Attaches necessary background information and maintains follow up systems;
- Selects and makes pertinent abstracts and undertakes searches for information;
- Drafts non-substantive correspondence and insures follow up;
- Takes dictation on a variety of subject matters and transcribes ensuring that spelling, punctuations and format are correct. Types correspondence, documents and reports, etc. some of which are highly confidential;
- Maintains policy, confidential and general management files; catalogues important UNICEF documents for use by front office;
- Drafts selected materials from different sources and coordinates the final preparations of reports, official documents, etc. for which Representative’s office is responsible;
- Closely checks all correspondence for format, style and accuracy before it is submitted to the Representative for signature;
- Keeps list of names, addresses and telephone numbers of Ministries, Govt. officials and members of the diplomatic corps;
- Prepares related documents for Representative’s travels; close coordination with Travel Assistant on details including ticket and hotel reservation.
- Supervises the distribution of important documents to key officials on a timely fashion; co-ordinates the work of other assistants in office, when required
Qualifications and experience:
- High school diploma. First university degree would be an advantage.
- Six-eight years of senior executive experience with a good public relation work record.
- Excellent knowledge of English and Farsi. both written and spoken; Knowledge of another UN official language would be an advantage.
- Work experience with UNICEF or other international organizations is an asset
