SUMMARY OF DUTIES, RESPONSIBILITIES AND GOALS

The Registrar is responsible for the overall operation of the Office of the Registrar and ensures that academic policies and procedures are maintained. The Registrar also serves on various academic committees and reports to the Vice President and Dean of the College. This position will advise the Vice President of Academic Affairs and Dean of the College on policy, operations, systems and strategies of the Office of the Registrar. The Registrar will provide input and advice on key interdepartmental operations and communications to the Vice President of Enrollment and Dean of Admission, the Vice President of Student Affairs and Dean of Students, and the Chief Information Officer.

ESSENTIAL FUNCTIONS

The following statements are intended to describe the general nature and level of work being performed by an individual assigned to this job. Other duties may be assigned.

·  Oversee operations of the Office of the Registrar, including student services, academic course management (catalog), course and classroom scheduling, evaluation of transfer credit and work completed while abroad, degree progress, maintenance of student records, certification of athletic eligibility and registration functions.

·  Participate in the creation of various required federal and state reports in collaboration with institutional research, such a IPEDS, CA DOE.

·  Serve as the interpreter of academic policy to academic committees and/or to students, faculty, staff and administrators directly, when appropriate.

·  Uphold academic policies in the administration of student records and registration.

·  Conduct research on student enrollment and provide reports and information to appropriate leadership and College committees, task forces and work groups.

·  Ensure compliance with FERPA and other relevant federal and state laws and regulations

·  Oversee the integrity and continued development of the student information systems related to student enrollment functions.

·  Promote the efficient use of human, technological, financial and other resources to creative effective business processes and services to students, faculty and others.

·  Create and implement communication plans related to student enrollment cycles

·  Participate and provide input for space and academic planning.

QUALIFCATIONS OF THE SUCCESSFUL CANDIDATE

·  A Bachelor's degree required. An advanced degree is highly preferred.

·  Ten years of progressively responsible experience in higher education with expertise in a Registrar's office best practices/policies, compliance, student systems and maintenance.

·  Commitment to the liberal arts college environment, and in particular, to the Mission of Occidental College (http://www.oxy.edu/our-story/mission).

·  Strong understanding of the Family Education Right to Privacy Act (FERPA) as it relates to student records.

·  Strong understanding of the USDOE regulations and guidelines concerning student enrollment reporting.

·  Proven ability in leading, motivating, and collaborating with leadership.

·  Excellent oral and written communication, planning, and problem solving skills.

·  Proven commitment to quality service and student advocacy.

·  Demonstrated ability to effectively lead, supervise, train, and develop staff.

·  Technologically proficient to serve as an advocate for technology, encouraging continual review of office procedures and processes.

·  Must be familiar with word processing, spreadsheets, relational databases, report writing tools, and navigating the Internet.

·  Knowledge of Banner, Argos, SmartCatalog IQ and OnBase desirable.
