SUBMITTING A LEAVE REQUEST ON SELF SERVE

Beginning in school year 2012-2013, we will submit leave requests online through Employee Portal Self Serve instead of writing out Employee Absentee Report forms (leave slips). Effective August 1, 2012, the following departments will be using Self Serve: ASC, Technology, Maintenance, Custodian, Warehouse, Publications, Transportation (except for drivers and assistants), and Child Nutrition (main office only). Everyone else will be using Self Serve later in September (you will be notified when you may begin using it).

  1. To submit a leave request on Self Serve, login to Employee Portal, then click on the Self Serve tab at the upper right side of the page.
  1. Click the Make A Request link. Click the Leaves link, and the Leave Request page appears.

Note: The message displayed at the bottom of the page is entered by the administrator. This message may change so it is important to read the message each time you make a request.

  1. In the Leave Request Type list, click to select the type of leave you are requesting from the list provided. A form displays that you can use to enter the leave request details.

Tip: Your current leave available for the leave type selected displays along with the request lead time and instructions. The Leave Available total is your available leave as of the current date, minus any previous leave requests entered in Self Serve or alio that are not yet posted in payroll.

If the Request Historic Days value is greater than zero (0), you can submit a leave request for a past leave as long as that leave occurred within the number of days specified.

  1. Click the Start Date for the leave request in the displayed Calendar. Use the forward buttons to display future dates in the calendar and the back buttons to display past dates in the calendar.

Tip: You must take into account the Request Lead Days when entering your Start Date. Your Start Date must be greater than or equal to the current date plus the Request Lead Days value.

  1. In the End Date field, type the last day, in mm/dd/yyyy format, of the requested leave or click the Calendar button to select the date from a calendar.
  1. In the Duration field, type the number of hours that you are requesting.

Tip: Your requested hours must meet or exceed the Minimum Duration value .25 hour (15 minutes).

  1. In the Comments field, type a comment about the leave request, if applicable.
  1. Click to select one of the following options:

a.Email me each step of the approval process option to receive an e-mail notification each time the request is approved.

b.Email me only on the final step of the approval process option to receive an email notification only when your request receives final approval.

c.Do not email me about this request option to not receive any email notification about the approval status of your request.

  1. Click Submit to submit the request for approval.

If the Duration entered exceeds the current leave available, a message displays. Click OK to submit the request or Cancel to cancel the request.

Your request will then be forwarded to your administrator who will then approve or deny your request. Then it will be forwarded to the Leave Clerk who will post the requested leave.
