COACH RECORDKEEPING

SOP – 5125-01

  1. First Aid/CPR, swim coaches Safety Training/Lifeguard Certification and Pole Vault coaches training.
  2. First Aid course work will be entered either by HR, Health Services or Athletics, depending on who receives the information first. The card is valid as per the dates indicated (longest available).
  3. A hard copy of the card will be sent to HR for the employee file after recording in EDRM. Please indicatethat the class has been entered in EDRM already.
  1. The Athletic department will monitor First Aid compliance for coaching eligibility prior to the start of eachseason. If a coach is not current or cannot document enrollment in a renewal course, the coach may not starttheir season.

2.Background Checks – Fingerprinting, Moral Character, Sexual Misconduct forms.

  1. HR will notify the Athletic department and the building athletic coordinator when fingerprinting has

been doneand an interim background check has been processed. The new coach is eligible for

coaching duties with this authorization.

  1. HR monitors records and enter into EDRM when clearance received.

3.High School graduate and age requirement.

  1. Each applicant will be asked on the application if they have a high school diploma. The name of the school is also now part of the application. The signed application will be documentation that a high school diploma has been achieved. This question should be reviewed by the hiring committee during the hiring process and only those candidates that meet the requirement should be hired.
  2. Age will be documented by HR into EDRM based on payroll forms received.

4.Head Coach – Rules Clinic requirement

  1. The Athletic Department will monitor this requirement for HS head coaches prior to the start of the season.

5.Coaching Level Requirements

  1. HR will enter all coaches into the EDRM system as beginner coaches (coach type).
  2. Athletic department will change the entry as appropriate, based on education/experience.

6.Coaching Education Categories

  1. HR will enter all clock hour forms into the employee EDRM record. A determination will be made in HR to apply the clock hour to coaching and teaching credit on a case by case basis. All clock hour forms should be submitted or forwarded to HR to be maintained in the employee’s file.
  2. Athletics will enter the Athletics Coaching Hour Tracking Sheet information into the EDRM system. These hours are not eligible for conversion to teaching credit. The tracking sheets will be maintained in the Athletic department.
  3. Each department will enter an educational category for the coaching credits as defined by WIAA (23.4.0). If the employee has not indicated a category, use the best guess method.

7.Coaches Education Compliance

  1. The Athletic department will file the annual compliance report as required.
