CLASS TITLE:SENIOR CLERICAL SPECIALIST

ALLOCATION FACTOR(S)

This is work supervising higher level clerical employees comparable to Clerk Typist Specialists or above. The primary duty of the employee(s) in the position(s) allocated to this class is to spend the majority of time communicating with, motivating, training and evaluating employees, planning and directing their work; and having the authority to hire, transfer, suspend, layoff, recall, promote, discharge, assign, reward or discipline subordinate employees or to effectively recommend such actions.

  • Motivates employees to improve the quality and quantity of work performed.
  • Plans work loads, work flows, deadlines, work objectives and time utilization with employees.
  • Evaluates employees through establishing evaluation criteria and responsibilities and meeting regularly with employees to ensure the established criteria are met.
  • Trains employees in methods for performing an effective and efficient job.
  • Communicates on a regular basis with employees both individually and in staff meetings.
  • Directs the work of employees to ensure best use of time and resources.
  • Prioritizes work and assigns to employees.
  • Orders materials and supplies.
  • Maintains records of work production.
  • Maintains employee payroll and time cards.
  • Schedules maintenance of equipment.
  • Distributes program information to employees.
  • Maintains inventory.
  • Operates photocopying machines, typewriters, adding machines, calculators, cash registers, computer video terminals and printers, microfilm and microfiche readers and related equipment with such accuracy as can be acquired on the job.
  • Ensures the prompt deposit of collected revenues.
  • Prepares reports on program activities.
  • Ensures computer data is properly entered in system.
  • Reviews work for accuracy and completeness.
  • Responds to inquiries concerning operational procedures.
  • Performs incidental typing.
  • Performs related work as required.

MINIMUM QUALIFICATIONS

  • Three years of secretarial or clerical work experience.
  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.
  • Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.
  • A high school diploma or its equivalent can substitute for one year the required work experience.
