Minutes of meeting held on Tuesday 6th October 2009

Attending: Richard Collard (chair), Roger Woof , Bernie Forbes, Malcolm Coleman, Stan Knollman, David Burton, Mick Parker, Chris Walker

Apologies: Richard Croxford, Les Sibley, Mike Robinson
Minutes of last meeting
The minutes for the September meeting were amended to place the KO Final announcement in the Day Meeting report and then approved. Proposed by Bernie Forbes and seconded by Stan Knollman.
Captain’s Report
Pinner Hill was a very good and inexpensive venue for the Karlstejn practice round and was made even better by the Captain winning the “pot”. The Drift day meeting was also excellent and although there was some confusion about the start time the club worked very hard to recover the situation and keep us happy.
Secretary’s Report
Roger pointed out that we only have one box of balls left for ball sweeps. John Dovey of Bird Hills has offered two lessons as prizes for the Henley pairs. BA duty tickets have been organised for four serving staff to go to Atlanta. The email announcing closure of the Stockley Park affiliation has been sent.
Treasurer’s Report
Richard reported that agreement had been reached on payment of £416 for the “part year” at Stockley Park, based on the total paid in 2008. He then presented the updated accounts which included income from FlyBE and Karlstejn matches and the Drift day meeting. Expenditure included the Drift, the Stockley affiliation, social functions for SAS and Karlstejn and deposits for Mill Ride, Calcot and Northwood. A reasonable balance of £2800 remains.
Day Meeting Secretary’s Report
For June 2010 Calcot price is £69.50 including bacon roll. We now have 50 for Henley. There are 6 par threes and all will have nearest pin prizes. We will fill out cards on the day. The Reading organisers’ day was excellent and Richard and Malcolm came third. The course was in fine condition and should be considered for guest pairs in 2010. This and the venue for September 2010 will be brought forward to the November meeting.
Match Secretary’s Report
It was disappointing that Karlstejn only brought six players but their organisation had not been very good and their captain Jan apologised for it. When we go to the Czech Republic next year it has been suggested that we should play Karlovy Vary and Marianske Lazne instead of Karlstejn. Peter Safranek has said that he wants to take more of a back seat in terms of organisation. The Delta match is all arranged and players are finalising their rooms etc. As neither Richard nor Malcolm will be travelling, Dave will either captain the team or nominate someone else to do so. FlyBE for 2010 has now been booked for 24 players at the Forest of Arden on Sunday 22nd August. Cost will be £108 each and start times are 1145 on Sunday and 0940 on Monday.

Tournament Secretary’s Report

No result yet for the Laleham Winter medal which finished on 27th September as some cards still to be collected. Handicaps are already adjusted for those who played the roll up. Bernie will collect any remaining cards and bring to Henley. John Jones has been reinstated for the Stockley Autumn medal which will possibly affect the Cutler Warrin standings. Dave Burton has won the Rotol Shield and qualifies for ASCA.
Handicap Secretary’s Report
Mike was not present but all handicaps are up to date and on web site
Publicity Secretary’s Report
Nothing to report.
Roll up Organiser’s Report
There were 11 players at the Laleham roll up which Dave Burton won with 39 points – Mike Robinson was runner up with 38. Next roll up is at 1300 on the 13th of October. As it is a Stableford competition Stan asked that Bernie should get players to record their points scored.
Membership Secretary’s Report
Chris has sent an updated list today with 68 members. Richard asked that he should provide this to Laleham. Dave is missing email addresses for Ian Collier, Danny Harnedy and Paul Moody and there seems to be a problem with Roy Sanders email. Chris will check and advise what details he has.
Matters Arising
a)  BA Clubs have clarified that serving staff members can now have two duty tickets per year regardless of which section(s) they are representing.
b)  The updated list of members has been sent.
c)  Russell Scott has been contacted and will bring in the Captain’s Day Trophy which Stan will take to Burridges. Mark Mahomed is expected to bring the hole-in-one trophy to Henley. The FlyBE trophy is ready for collection at Burridges.

Business Matters

a)  Getting enough players for matches has been a problem this year and our opponents have also struggled. However we want to maintain the existing matches and have an extra one potentially with TAP. With so few members there is no real answer except to encourage newer members to play matches and if necessary adjust the numbers per side in particular cases.
Associate Memberships
There were no associate memberships to approve
AOB
a)  We have still got six Foxhills vouchers to use by the end of October. It was decided that we should sell these at cost at Henley.
b)  Mark Mahomed and Surinder Kalsi will contest the KO final. Dates to be arranged.
c)  Stan kindly volunteered to organise buying some good balls for the 2010 ball sweeps on the Delta trip.
d)  Dave explained his findings regarding Simon and Lee’s early departure from FlyBE match – the matter is now closed.
e)  Chris will bring some membership forms - golf section and BA Clubs - to Henley.
f)  As Captain, Richard will decide on the date and venue for the December committee meeting and advise.
