Application Form for FOOD STALLS

This form is proof of your intention to trade and will be kept on a database for administration and environmental purposes.

If you would like to attend one of the weekly markets that the council runs, complete the form below and return to the Market Supervisor or post to Operations Division, Pathfinder House, St Mary’s Street, Huntingdon, PE29 3TN, marked for the Market Officer’s attention. Please complete the form in block capitals. If you don’t complete and submit this form you will not be able to trade.

Thank you for making an enquiry to trade at Huntingdonshire markets. Before attending one of our markets for the first time, all food traders are required to provide the following information:

  • Full name and contact details of the business owner
  • Name of the local authority environmental health department where the stall/mobile is registered
  • Date of the last routine food hygiene inspection carried out by the registering authority
  • Most recent food hygiene rating score awarded by the registering authority
  • Copies of food hygiene training certificates for food handlers
  • Copies of portable appliance test certificates for portable electrical appliances to be used at the market
  • Copies of Gas Safe certificates for gas appliances to be used at the market
  • Copy of public liability insurance certificate
  • Details of equipment to be used which enable high-risk foods to be kept at temperatures of 8°C or below
  • Description of hand washing and equipment washing facilities
  • Copy of a recent utility bill
  • Copy of your National Insurance number

The enclosed checklist should be completed and returned along with copies of certificates. The information will then be assessed and you will be notified if your application has been successful.

Our environmental health officers will carry out an inspection of your stall/mobile when you start trading and then at regular intervals in the future. If, at any time, standards are found which do not comply with current legislation you will be suspended from trading at all markets in Huntingdonshire.

Why are we asking for your personal information?

We require your personal data to consider and process your application for a Food Stall.

This is a (Public Task) Statutory Duty as laid out in Local Government legislation as regards licensing. We cannot process your request unless you provide this personal information. If you do not or if you refuse to allow us to share information we will not be able to carry out the service for you and cannot be held responsible for any consequences to you of it not being carried out. Refusal may result in us being unable to consider you for a pitch.

We may automate decisions and will inform you if we have done this as soon as reasonably practicable and provide you with access to our Data Protection Policy.

You hold the following rights with regard to the personal data you provide us:

  • Right to Access – You have the right to access (receive a copy) of your personal data and supplementary information.
  • Right to Rectification – You have the right to have any inaccurate or incomplete personal data rectified.
  • Right to object to us processing your personal data where you have an objection on “grounds relating to your particular situation”.
  • Right to Restriction – You have the right to request a restriction of the processing of your personal data in situations where it is inaccurate, unlawful, and no longer needed for the purposes for which it was originally collected, or if a withdrawal of consent has been made.

Sharing your information

We share information within the council to ensure services are provided appropriately. We may share your personal data with other agencies, such as the police, social services etc, if there is a legal reason do so.

We may process the information you provide to prevent and detect fraud in any of our systems and may supply information to government agencies, credit reference agencies, audit or other external bodies for such purposes. We participate in the government’s National Fraud Initiative.

If any of the information we have about you is incorrect, please tell us, we are reliant on you assisting us to keep your information accurate and up to date.

Retention of your personal information

We only keep your information as long as necessary, for some items this will be dictated by law. You can find out more by looking at the council’s Retention Policy on the website.

We do not routinely process any information about you outside the European Economic Area (EEA), except in rare cases, where we use all appropriate safeguards.
