PITCH REQUIREMENTS

All pitches must trade across all 3 days and trade during public access hours i.e. 10.30am to 10.30pm (times may vary depending on cinema screening times).

Do not send payment with your booking. Once your application has been accepted an invoice will be emailed to you; payment will be required by the requested date on the invoice. If payment is not received then your application may be rejected and space given to another trader.

ADDITIONAL INFORMATION

Please give an outline of your product range. Note: Alcohol or soft drinks may not be served without prior agreement.
Please attach a photo of your stall at an event held within the last 12 months (or provide a web address for the same).
Please provide copies of your current public and product liability insurance policies.
If you are providing or selling food products please confirm which local authority you are registered with.
Please confirm your Food Hygiene Rating and provide a copy of the document. We are unable to accept any application with a rating of less than 4.
Please can you confirm the date of your last Food Hygiene Inspection and provide us with a copy of the report

TERMS AND CONDITIONS OF TRADING

GENERAL

  1. The submission of an application form implies acceptance of these terms and conditions and any addition, variation or amendment as is reasonably required.
  2. ‘Organiser’ means Selsey Town Council its employees, contractors and agents.
  3. The ‘Venue’ means the green at East Beach Green
  4. The ‘Event’ means the Screen on the Green as part of Selsey Festival
  5. ‘Trader’ means any person or organisation allocated space to trade at the Event.
  6. Acceptance by the Organiser of a Traders application grants the Trader licence to trade at the Event on the following terms and conditions. Failure to adhere to these may result in your licence being revoked without compensation or refund.
  7. The Organiser reserves the right to refuse any application.
  8. Once a Traders application has been accepted there are no refunds, the event will go ahead regardless of the weather. If the Event is cancelled a full refund will be given.
  9. In all instances the Organiser’s decision is final.

EVENT DETAILS AND TIMES(Provisional, confirmation nearer the event)

  1. The Event will take place on 19th, 20th, 21st August 2016
  2. The Event will be open to the public from 10.30am each day and close around 10.30pm each day.
  3. All vehicles must be in situ or deliveries to your stand made and vehicles moved by 10am each, vehicles must remain stationary until after 10.30pm or until members of the public have vacated the Event.
  4. All vehicles, stands, stock and possession must be cleared from the site by 11.30pm on 21st August 2016 unless agreed otherwise with the Organiser.
  5. Any stock, equipment or items left at the site after the agreed removal time will be cleared at the Organisers discretion.

PITCHES, STAND PRESENTATION AND MERCHANDISE

  1. The allocation and position of space is entirely at the Organiser’s discretion.
  2. The Trader shall not extend beyond the agreed pitch size or sub-contract any part of their stall without prior approval of the Organiser.
  3. We would ask that stands look presentable, clean and tidy.
  4. The Trader must only sell goods as specified in their application. Any changes must be approved by the Organiser.
  5. Traders must not sell soft drink or alcoholic drinks unless agreed otherwise with the Organiser.

APPLICATIONS

  1. Submission of an application form does not guarantee attendance at the Event.
  2. If selected the Trader will be invoiced and full payment will be required within 14 days to secure your stand.
  3. Cancellations will be accepted 10 weeks prior to the Event; 50% of the booking fee will be returned to the Trader.
  4. If a Trader cancels their application after 10th June 2016 no refund will be given at all.

INSURANCE AND LIABILITY

  1. All Traders are required to hold current public and product liability insurance. A copy of this insurance must be sent with your application.
  2. If the Organiser does not receive a copy of the insurance certificate prior to the Event they reserve the right to refuse the Trader’s application.
  3. It is the responsibility of the Trader to ensure that their stand is safe e.g. electrical installations, stability of heavy equipment, trip hazards and any other hazard.
  4. The Trader will indemnify and keep indemnified the Organiser against all actions, proceedings, costs, claims and demands which may be brought or made against the Organiser in respect of personal injury and damage to property arising directly out of the activities in connection with the Event, legal liability of the Organiser excepted.
  5. The Trader acknowledges that the Organiser is not responsible nor holds any liability for any financial losses incurred by the Trader, or for any loss or damage of equipment, goods or personal belongings, or personal injury of employees working for or connected to them.
  6. No damage to the Venue, beyond normal wear and tear is acceptable. The disposal of boiling water, oils etc. at the Venue is strictly forbidden. Any damage will incur a repair charge.

SECURITY

  1. There will be no overnight security at this site. Traders are responsible for the safety and security of their own stock, vehicles and pitch. The Organiser accepts no responsibility for any loss or damage to Traders’ equipment, merchandise, vehicles or personal belongings.

VEHICLES

  1. For setting up, restocking and clearance Traders may bring vehicles up to their stands, this is subject to location, weather and ground conditions.
  2. Service vehicles cannot be parked behind the stands, they must be removed and parked in the car park.
  3. Traders Vehicles that form part of a stand must remain stationary whilst the Event is in progress, this is for the safety of members of the public.

SELLING FOOD PRODUCTS

  1. Traders selling food products are reminded of their responsibilities under the Health and Safety Acts, Food Safety Act, Electricity at Work Act and trading standards law. It is the responsibility of Traders and their staff to ensure that they comply with all statutory requirements regarding hygiene, safety, labelling and weights and measures.
  2. All electrical equipment must have been tested for electrical safety by a competent person within the last 12 months and be clearly marked with the test results. Traders will not be permitted to connect any equipment that is either deemed unsuitable or does not carry a recent PAT (Portable Appliance Test) certificate or sticker.
  3. Caterers must ensure any gas appliances are properly certified.
  4. We cannot guarantee that a water supply will be available during the event, therefore Traders must ensure they bring their own supply for cleaning purposes.

RECYCLING AND RUBBISH

  1. Traders must ensure all rubbish and recycling is taken by them at the end of each day and at the end of the Event.

NOISE

  1. The Organiser reserves the right to reduce or curtail noise created by a Trader if it is deemed to be affected other traders or the Event activities. PA systems are not allowed on any stall.

DOGS

  1. Dogs are permitted at the Event provided they remain on a short leash. Please do not leave dogs in a vehicle. Should your dog become distressed or be a nuisance to other people, children or Event users you may be asked to leave.

SMOKING

  1. Due to the smoking ban it is illegal to smoke in any public space that is enclosed or undercover (this includes marquees and similar structures).
